Description
The Administrative Assistant provides responsive, high-quality support to a team of executives. This role coordinates schedules, meetings, communications, documents, presentations, and follow-up across multiple leaders and priorities. The ideal candidate is proactive, polished, and comfortable shifting between detailed administrative work and broader team support in a fast-paced, confidential environment.
KEY RESPONSIBILITIES
· Executive team support: Provide day-to-day administrative support to multiple executives, helping organize priorities, manage commitments, and maintain timely follow-through.
· Calendar and meeting coordination: Schedule and coordinate meetings, manage changing calendars, prepare agendas and materials, and arrange travel or other logistics as needed.
· Documents and correspondence: Draft, edit, format, proofread, and finalize correspondence, reports, memos, agendas, and other business documents with a high degree of accuracy.
· Presentations: Create and refine professional presentations for executive, employee, Board, and external audiences using direction and source materials provided by leaders.
· Meeting and follow-up support: Attend meetings as requested; capture decisions, notes, and action items; organize next steps; and help ensure commitments are completed.
· Board support: Assist with Board meeting materials, communications, logistics, and records while maintaining strict confidentiality and professionalism.
· Information coordination: Gather input from internal partners, organize information, maintain trackers, and prepare materials needed for decisions and business priorities.
· Administrative operations: Process expense reports, maintain files and records, coordinate correspondence, and support other recurring administrative processes.
· Professional communication: Serve as a responsive point of contact for employees, customers, directors, and external partners; handle calls and messages with confidence and sound judgment.
· Shared team needs: Provide flexible administrative and project support across the executive team and other areas of the Bank as priorities evolve.
QUALIFICATIONS
· Three or more years of progressively responsible administrative support experience preferred; experience supporting multiple leaders, senior executives, or a Board is strongly preferred.
· Associate's or bachelor's degree preferred; an equivalent combination of education and relevant experience will be considered.
· Strong proficiency in Microsoft Word, PowerPoint, and Outlook, with working knowledge of Excel for basic spreadsheets, trackers, and data organization.
· Demonstrated ability to produce polished, accurate documents and presentations for senior-level audiences.
· Experience in banking, financial services, a law firm, or another regulated or confidentiality-sensitive environment is helpful but not required.
