We are seeking a highly organized and professional Executive Assistant to support our President and CEO. This full-time, exempt position requires someone who thrives in a fast-paced environment and excels at managing multiple priorities with exceptional attention to detail.
About the Role
As the Executive Assistant, you will serve as a trusted partner to the President and CEO, ensuring smooth day-to-day operations and efficient management of schedules, projects, and communications. You will play a critical role in event planning, travel coordination, and administrative support, all while demonstrating the highest level of professionalism and accountability.
Key Responsibilities
- Deliver top-tier administrative support to the President and CEO, proactively anticipating needs and taking initiative.
- Plan and coordinate conferences and events, managing all logistics such as reservations, agendas, itineraries, registrations, and vendor communications.
- Oversee the President’s calendar, scheduling multiple events and trips each month while efficiently handling any changes or updates.
- Monitor and prioritize daily mail flow, ensuring timely follow-up and action on important items.
- Answer and screen phone calls professionally, accurately conveying messages in a timely manner.
- Collaborate with the Finance team to prepare monthly expense reports and client billing.
- Prepare a weekly planner for the President, reviewing and updating tasks daily to keep the President informed and organized.
