The Payroll & Benefits Administrator is responsible for managing and executing all aspects of payroll and benefits administration for U.S. and select international employees. This is a compliance-critical role requiring deep, working knowledge of the Fair Labor Standards Act (FLSA) and related wage and hour regulations.
This position ensures accurate and timely payroll processing, proper employee classification, compliant pay practices, and effective benefits administration. The ideal candidate has hands-on experience applying FLSA rules in real-world payroll scenarios, demonstrates strong analytical judgment, and proactively identifies and mitigates compliance risks.

Payroll Administration
- Prepare, process, and reconcile weekly and semi-monthly payrolls for U.S. employees.
- Apply FLSA regulations to payroll processing, including:
- Overtime calculations (regular rate, bonuses, day rates, blended rates)
- Exempt vs. non-exempt classification validation
- Treatment of discretionary vs. non-discretionary bonuses
- Per diem and taxable wage determinations
- Audit timecards, job bonuses, and supplemental pay codes for accuracy and compliance.
- Identify and proactively correct wage and hour compliance risks.
- Maintain accurate payroll records including deductions, garnishments, and accrual balances.
- Research and resolve payroll discrepancies with a focus on compliance and risk mitigation.
- Partner with HR and Accounting to ensure accurate payroll reporting and cost allocation.
- Coordinate international payroll processes with external vendors as needed.
Benefits Administration
- Administer employee benefit programs including medical, dental, vision, life, disability, and 401(k).
- Manage open enrollment, benefit changes, and employee communications.
- Serve as liaison with benefit vendors, brokers, and carriers.
- Support leave of absence processes including FMLA, ADA, and disability programs.
- Conduct regular audits of benefit enrollments, deductions, and eligibility.
Compliance & Reporting
- Ensure compliance with all federal, state, and applicable international payroll and benefits laws.
- Serve as the internal point-of-contact on FLSA and wage & hour compliance.
- Conduct regular internal payroll audits to validate:
- Overtime calculations
- Pay code configurations
- Employee classifications
- Advise HR leadership on compliance risks and corrective actions.
- Maintain current knowledge of wage and hour laws, tax regulations, and reporting requirements.
- Prepare and file required payroll tax reports and government filings (W-2, 1095-C, etc.).
Systems & Process Improvement
- Serve as HRIS administrator for payroll and benefits modules.
- Validate system configurations for FLSA compliance (overtime rules, pay codes, earnings).
- Assist with HRIS implementation, configuration, and data integrity.
- Recommend and implement process improvements to enhance accuracy, compliance, and efficiency.
- Collaborate with HR, Accounting, and Operations to streamline workflows.

education requirements
- Bachelor’s degree in Human Resources, Accounting, or related field preferred
required experience & skills
- Minimum 5 years of experience in Human Resources or Payroll
- 3 years of multi-state payroll experience
- Demonstrated hands-on experience applying FLSA regulations in payroll processing (required)
- Strong understanding of wage and hour laws, payroll tax compliance, and benefits regulations
- Experience auditing payroll for compliance and identifying discrepancies
- Advanced proficiency in HRIS/payroll systems (Paylocity preferred)
- Strong analytical, problem-solving, and organizational skills
- High level of accuracy and attention to detail
- Ability to manage multiple priorities and meet deadlines
- Excellent communication and employee support skills.

- Experience in oilfield services, energy, or industrial environments
- Experience coordinating international payroll (e.g., MENA or Latin America)
- Prior involvement in HRIS implementation or system transitions
- Working knowledge of 401(k) administration, COBRA, and ACA compliance.
