About the Role: Starian Fabrication is seeking a highly organized, proactive, and detail-oriented Office Manager to serve as the central point of communication and coordination for our operations.The Office Manager is responsible for managing day-to-day office operations, maintaining constant communication with clients, vendors, and suppliers, and ensuring that every job is tracked, organized, and moving forward smoothly. You will work closely with ownership and the shop team to keep projects on schedule and information flowing at all times.This position requires strong communication skills, excellent organization, and the ability to stay on top of many moving parts in a fast-paced environment.Key ResponsibilitiesGeneral Office & Operations:Create and maintain physical job files for every project immediately upon receipt of a purchase orderEnsure files are organized, complete, and updated as the job progressesTrack all files and ensure they are stored in the correct location based on job statusMaintain and update the status of all jobs using the Planner AppKeep the office, showroom, and kitchen areas clean, organized, and presentableProactively identify small tasks or improvements that benefit the team and overall workflowCommunication & Client ManagementRespond promptly and professionally to all customer emails and phone callsMaintain consistent communication with customers throughout the entire lifecycle of each jobEnsure ownership and the team are immediately informed of any critical updates, changes, or issues related to jobs or shop operationsMaintain constant, clear communication regarding the status of all customers, jobs, vendors, and suppliersEstimates, Inquiries & Business DevelopmentPrepare and send residential estimates within 24 hours of inquiry (commercial timelines may vary)Manage and respond to all inquiries from paid advertisements and the company website (e.g., Angi, Wix)Actively search for new job opportunities using construction platforms and online search toolsAccounting & Vendor CoordinationTrack all bills and expenses including materials, supplies, utilities, subcontractors, and repairsCommunicate with ownership before issuing or sending paymentsMaintain organized records of vendor and supplier communications and obligationsQualifications & SkillsStrong organizational and multitasking skills with extreme attention to detailExcellent written and verbal communication skillsAbility to prioritize, follow up, and manage multiple jobs at different stagesComfortable working in a fast-paced, small-business environmentProactive mindset — sees what needs to be done and takes actionPrior experience in construction, fabrication, or office management is a plus (but not required) Company DescriptionStarian Fabrication is a Connecticut-based custom fabrication company specializing in high-end solid surface and quartz for residential and commercial projects. Salary : $50,000 - $60,000
