- Handle all incoming correspondence, including emails, mailings, and deliveries with accuracy and promptness
- Maintain organized filing systems, data entry records, and office supplies inventory
- Support calendar management and appointment scheduling for staff or executives using tools like Google Workspace or Microsoft Office
- Assist with clerical tasks such as proofreading documents, preparing reports, and updating databases
- Perform basic bookkeeping duties using QuickBooks or similar accounting software when needed
- Provide excellent customer service by addressing inquiries promptly and courteously
- Support office management activities including organizing meetings, managing office supplies, and maintaining a tidy reception area
Experience
- Prior office or administrative experience is required; experience in medical or dental reception is a plus
- Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent phone etiquette and customer support skills; bilingual abilities are highly desirable for effective communication with diverse clients
