Job Summary
We are seeking a detail-oriented and organized Dental Treatment Plan Coordinator to join our dental practice. The ideal candidate will serve as a vital link between patients and the clinical team, ensuring smooth communication, accurate documentation, and efficient management of treatment plans. This role requires excellent administrative skills, familiarity with dental and medical terminology, and proficiency in various electronic health record (EHR) systems. The Treatment Plan Coordinator will play a key role in enhancing patient experience and supporting the clinic’s operational efficiency.
Duties
- Review and verify treatment plans, ensuring accuracy and completeness of documentation in EMR systems such as Eaglesoft, Dentrix, or Meditech.
- Coordinate with dental providers to facilitate the creation and presentation of treatment plans to patients.
- Assist patients with understanding their treatment options, insurance coverage, and financial arrangements.
- Verify insurance benefits and eligibility using systems like Athenahealth or other insurance portals.
- Enter and update patient information accurately within EHR systems while maintaining HIPAA compliance.
- Manage patient scheduling for follow-up appointments and consultations through multi-line phone systems and office management software.
- Review medical and dental records for completeness, accuracy, and compliance with documentation standards including ICD-10, CPT coding, and dental terminology.
- Support billing processes by verifying insurance information, coding procedures accurately, and assisting with medical billing tasks.
- Provide exceptional patient service by addressing inquiries professionally via phone or in person while demonstrating excellent phone etiquette and clerical skills.
- Maintain organized filing systems for medical records, treatment plans, and other documentation to ensure easy retrieval.
- Collaborate with the front desk team to optimize office workflow and improve patient experience.
Qualifications
- Prior experience in a dental or medical office environment is highly preferred, especially with dental clinic experience or medical administrative support roles.
- Proficiency in EMR/EHR systems such as Eaglesoft, Dentrix, Meditech, eClinicalWorks, or similar platforms is essential.
- Knowledge of dental terminology, CPT coding, ICD coding (ICD-9/10), HIPAA regulations, and insurance verification processes is required.
- Strong computer skills including Microsoft Office Suite (Word, Excel), typing (10-key), and familiarity with health information management software.
- Excellent organizational skills with attention to detail for documentation review and data entry accuracy.
- Exceptional communication skills—bilingual abilities are a plus—and professional phone etiquette for patient interactions.
- Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining confidentiality and compliance standards.
- Experience with office management tasks such as filing, scheduling, billing support, and front desk operations is advantageous.
