Purpose Statement:
The job of Business Services Specialist was established for the purpose/s of providing a variety of specific functional support to the Business Services department. Responsibilities include coordinating assigned projects, establishing and maintaining department records, and compiling and distributing a wide variety of materials and reports, and supporting the functions of the other Business Services Specialists.
This job reports to the Asst Supt Business Services.
Essential Functions
- Attends department and/or in-service meetings for the purpose of conveying and/or gathering information required to perform.
- Collaborates with internal and external entities for the purpose of gathering information, making decisions and providing support.
- Maintains a variety of manual and electronic documents, files, and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines, legal requirements and for the purpose of ensuring information is current and appropriate procedures are maintained.
- Performs a variety of secretarial/clerical tasks (e.g. copies and scans documents, receives and sends email information, answers the telephone, assists other employees, orders supplies, schedules meetings, etc.) for the purpose of ensuring the effective and efficient functioning of the work unit.
- Prepares a variety of correspondence, reports, and other materials for the purpose of documenting activities, providing written reference, and/or conveying information.
- Processes documents and materials for the purpose of completing transactions and complying with established rules and guidelines.
- Responds to inquiries from a variety of internal and external parties for the purpose of providing information, resolving issues, and making decisions.
- Supports assigned administrator/manager for the purpose of providing assistance with department functions and responsibilities.
- Supports the district’s case management and maintains documents for work related employee incidents.
Other Functions
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Job Requirements: Skills, Knowledge and Abilities (Minimum Qualifications)
SKILLS are required to perform single, technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform the functions of the job include: preparing and maintaining accurate records; and using pertinent software applications.
KNOWLEDGE is required to perform algebra and/or geometry; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: principles and techniques involved in payroll preparation, monitoring and control.
ABILITY is required to schedule activities, meetings, and/or events; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with a variety of data; and utilize job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific ability-based competencies required to satisfactorily perform the functions of the job include: communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; setting priorities; proficiency in using computer and applicable software applications; and working as part of a team with detailed information/data and frequent interruptions.
Responsibility
Responsibilities include: working under limited supervision following standardized practices and/or methods; providing information and/or advising others. The workload for this position is substantial, subject to strict payroll timelines and requires frequent assistance to District employees. Utilization of some resources from other work units is often required to perform the job's functions. There is a continual opportunity to have some impact on the organization’s services.
Work Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally, the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
