Position Summary
Under the direction of the Business Administrator, the Office Assistant serves as the first point of contact for STANCO and plays a key role in creating a welcoming, professional environment for clients, residents, vendors, and community partners.
This position combines front office reception duties with administrative and housing support functions to ensure efficient daily operations. The Office Assistant manages communications, maintains records, assists with tenant and vendor coordination, and supports housing operations.
Key Responsibilities:
Front Office & Administrative Support
- Greet and assist clients, residents, vendors, and visitors in a professional and courteous manner
- Answer and direct incoming phone calls; take and relay messages accurately and promptly
- Maintain a clean, organized, and professional front desk and office environment
- Manage incoming and outgoing mail, packages, and deliveries
- Maintain and organize physical and electronic filing systems
- Perform general clerical duties including data entry, document preparation, and recordkeeping
- Support staff with administrative tasks and special projects as needed
- Maintain office supply inventory and submit purchase requests
Housing Support Responsibilities
- Coordinate and distribute housing-related supplies to onsite property staff
- Receive, process, and track resident maintenance requests; coordinate with vendors to ensure timely completion
- Maintain accurate documentation of maintenance activities and follow-ups
- Assist with vendor access to units for scheduled services (maintenance, inspections, deliveries)
- Support preparation and distribution of tenant notices (e.g., 3-day notices, 30/90-day program notices)
- Assist with compliance-related communications and documentation for housing programs
- Maintain confidential tenant and vendor files in accordance with organizational policies
- Assist with scheduling, tracking, and documentation of property inspections
- Communicate office hours, closures, and updates to tenants and community members
- Support rent collection processes, including issuing receipts and maintaining accurate records
- Assist with preparing bank deposits in compliance with financial policies and procedures
- Track and maintain records of outgoing payments and vendor transactions
- Collaborate with accounting staff to ensure accurate financial recordkeeping
- Participate in an on-call rotation for after-hours, weekend, and holiday support
Qualifications:
Skills & Abilities
- Strong communication and interpersonal skills with a professional, service-oriented approach
- Excellent organizational, multitasking, and time management abilities
- Proficiency in Microsoft Office and general office software
- Comfortable using standard office equipment (phones, copiers, printers)
- Strong attention to detail and accuracy in recordkeeping
- Effective problem-solving skills
- Ability to handle sensitive and confidential information with discretion
- Ability to work independently and collaboratively in a team environment
- Dependable, adaptable, and committed to supporting a mission-driven organization
Education & Experience
- High school diploma or equivalent required; additional education or certifications preferred
- 1–2 years of experience in a receptionist, administrative, or customer service role preferred
Certification/Licensure
- Valid California Driver’s License required
Physical Requirements
- Sedentary work involving occasional lifting (up to 10 pounds)
- Frequent computer use, reading, and data entry requiring close visual acuity
- Occasional stooping, kneeling, and lifting
- Ability to communicate clearly (speaking and hearing) in a professional setting
Benefit Information:
- Full time position – Monday thru Friday 8 am to 5 pm
- Starting wage is $17 per hour
