About the Position
The Department of Pathology at Stanford University’s School of Medicine is seeking a temporary Administrative Associate 3 to provide administrative support under general supervision. In this position, the Administrative Associate 3 will work closely with Project Administrative Manager to support a variety of departmental functions such as faculty support, clinical scheduling, processing blocks and slides, and vendor support. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to manage multiple priorities efficiently. Prior experience in clinical scheduling, administrative support, and use of QGenda and Epic Beaker is highly desirable.
Job Duties
- Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature.
- Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing events within budget.
- Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
- Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
- Create complex reports and spreadsheets which may utilize specialized software and systems.
- Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.
- Coordinate and monitor routine maintenance services completion. Plan and coordinate office moves and/or minor renovation projects.
- Provide comprehensive support to clinical faculty across assigned functional areas.
- Coordinate scheduling, equipment support, and clinical research activities.
- Maintain accurate records, data tracking, and reporting using Microsoft 356, Excel, Google Suites, QGenda, and Epic Beaker.
- Demonstrate excellent customer service, professionalism, and initiative in daily interactions.
- Perform other duties as assigned to support departmental operations.
Desired Qualifications
- Demonstrated experience in administrative support.
- Strong written and verbal communication skills, with the ability to draft professional correspondence.
- Proficiency in Microsoft 365, Google Suite, Epic Beaker and QGenda.
- Ability to work independently and collaboratively in a fast-paced environment.
- Education: High school diploma and four years of administrative experience, or combination of education and relevant experience.

- The expected pay range for this position is $23.59- $49.69
Pay: $23.59 - $49.69 per hour
