Every badge and access request helps keep care moving, people connected, and Stanford Health Care facilities secure. As an Access Coordinator I, you will be a trusted problem-solver who turns access challenges into responsive, professional customer experiences.


This full-time, 100% onsite role is based primarily in Palo Alto and serves as the front-line resource for Stanford Health Care's badging and access operations. The Access Coordinator I supports employees, contractors, and visitors by providing timely access services while delivering exceptional customer service in a fast-paced healthcare environment.


In this role, you will:


  • Manage badge creation, access requests, and ServiceNow ticket workflows supporting multiple Stanford Medicine locations (SHC, SOM, SMCH, SMP & SHC Tri-Valley).

  • Assist walk-in customers, troubleshoot badge and access concerns, and resolve issues that may directly impact staffing, operations, and patient care.

  • Process requests accurately and efficiently while balancing competing priorities and adhering to established policies, procedures, and security requirements.

  • Provide professional, customer-focused support to employees, contractors, visitors, and other stakeholders throughout the badging and access process.

  • Leverage customer service experience and knowledge of onboarding and offboarding processes, HR practices, badging, and ticket management to effectively address access requests, troubleshoot issues, and deliver a responsive and professional customer experience.

  • Collaborate with internal teams and external partners to investigate and resolve access issues, escalate technical concerns, and ensure appropriate follow-through.

  • Maintain accurate records and documentation while supporting consistent and standardized Access Office processes.

A Brief Overview
The Access Coordinator I is responsible for the issuance and management of badges and physical keys across Stanford Medicine. Including intake of all facility access requests, assignment of access control and deployment of physical keys in alignment with Stanford Medicine policies and procedures. The role requires exceptional customer service interacting with all-levels across the enterprise and the ability to thrive in a fast-paced environment while maintaining the highest quality and ensuring the safety and security of all site personnel.

What you will do

  • Creation and distribution of badges for new employees across Stanford Medicine enterprise
  • Provisioning access rights based on the staff roles and responsibilities in coordination with supervisors and area leaders
  • Ability to maintain confidentiality and show discretion when disabling access for terminated staff
  • Track, manage and prioritize customer requests through ServiceNow
  • Supports maintenance of the Department Signature of Authority for restricted areas (e.g., Interventional Platform, Pharmacy, Physchiatry, Imaging, etc.)
  • Supports New Hire Orientation issuance of new hire badges and keys in coordination of Human Resources and Department Leadership
  • Assists the Compliance Department and Privacy Office Visiting Observer Program (designed for individuals who want to observe a procedure or other clinical or administrative activity at Stanford Health Care (SHC) or Stanford Children’s Health (SCH) or their affiliate) by issuing temporary badge for the date the observation is approved
  • Provisioning access to Medical Researchers by enrolling their biometric with IdentyTech readers
  • Provisioning access and issuance of XT Medeco Security Key
  • Manages the distribution of core keys through Smartsheet key tracker
  • Activation and distribution of Real Time Location Systems (RTLS) device
  • Supports maintenance of equipment and supply inventory for the badging office
  • Maintain consistent customer service and professionalism in all interactions (e.g., phone, email, ServiceNow and in-person) to efficiently resolve badging requests, concerns and questions
  • Ability to follow standard operating procedures for access control
  • Strong computer and application (e.g., Microsoft Office, C-Cure, Milestone, ServiceNow, Medeco, Real-Time Location System (RTLS)) aptitude


Education Qualifications

  • High School Diploma or GED Required


Experience Qualifications

  • 2 years work experience preferably in Security or Customer Service Required


Required Knowledge, Skills and Abilities

  • Self-starter with ability to multi-task, problem solve and participate in cross-functional teams.
  • Working knowledge and strong aptitude with security system and configuration; i.e C-Cure 9000.
  • Knowledge of and proficiency in the use of Microsoft Office applications and standard office equipment.
  • Ability to perform multiple tasks and adapt to changing priorities.
  • Ability to travel for staffing staffing coverage

Base Pay Scale: Generally starting at $40.90 - $53.17 per hour

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
