Facilities Coordinator Division of Oncology
The Division of Oncology in the Department Medicine is seeking a proactive and highly organized Facilities Coordinator to oversee the physical infrastructure and operational needs of our research and administrative spaces which are located both on campus and off-site. You will serve as the primary liaison between faculty, facilities, and external vendors; coordinate moves and perform annual space inventory. This role requires a unique blend of logistical know-how, technical database management, and a strong attention to detail.

Job Duties:
· Function as space operations/facilities point of contact for the Division of Oncology; initiate work requests, monitor completion; coordinate and monitor routine maintenance services completion; manage equipment and vendor service contracts.
· Serve as Division space coordinator. Coordinate annual space inventory and maintain records in iSpace and division space database. Ensure new changes are tracked in system, assist with MOUs and space sharing agreements. Provide Division leadership with routine and ad hoc space reporting to facilitate decision making.
· Support division onboarding/offboarding operations by distributing/collecting keys, providing building access, processing badge requests, monitoring access records, and updating information where required.
· Support project coordination by performing assigned tasks for division projects; acting as a project coordinator/liaison; and overseeing and executing minor projects, including their organization, scheduling, budgeting, and implementation.
· Coordinate property administration by completing tagging, data entry and inventory; record keeping, and tracking. Gather information for leadership to assist with decision making for equipment purchases, vendor agreements, and space maintenance Initiate purchase orders for Division equipment and services.
· Assist with update and distribution of annual safety plan. Communicate and coordinate appropriate disposal procedures in laboratory settings.
Education & Experience:
· Associate degree and two years related, demonstrated facilities administration experience, or a combination of education and relevant experience. Experience in research labs preferred.
Knowledge, Skills and Abilities:
· Interpersonal skills, mature judgment required to interact effectively with a broad range of people, including faculty and vendors, both individually and in groups.
· Ability to coordinate and manage multiple projects with competing priorities, meet deadlines and project plans with short- and long-term end dates.
· Working knowledge of applications such as Excel, Word, PowerPoint.
· Experience working with internal and external vendors and services contracting.
· Background knowledge of safe handling and disposal of chemicals and hazardous waste; emergency preparedness plans and their implementation; and property administration specific to PO tracking, receiving, and inventory control (preferred).
Physical Requirements:
· Frequently stand/walk, seated, performs desk-based computer tasks.
· Occasionally twist/bend/stoop/squat, reach/work above shoulders, grasp lightly/fine manipulation, lift/carry/push/pull objects that weigh up to 20 pounds
· Rarely, kneel/crawl, grasp forcefully, lift/carry/push/pull objects that weigh >40 pounds.
