Position Overview
The Healthy Community Network, located in Palmyra, WI is seeking a highly organized, mission-driven Director to oversee the day-to-day administration, operations, volunteer coordination, and community outreach activities of the organization. Reporting directly to the HCN Board of Directors, the Director serves as the primary administrator for HCN, ensuring effective food distribution services, volunteer engagement, record management, and communication with community stakeholders.
This is a paid part-time position requiring a flexible schedule, including attendance at designated volunteer, distribution, and board-related activities.
Reporting Relationship
The Director reports to the HCN Board of Directors and works closely with employees of Standard Process.
The Director is responsible for scheduling and coordination of 1-2 Board meetings annually along with providing updates regarding HCN operations and activities.
Key Responsibilities
Board and Committee Administration
- Serve as the primary liaison to the HCN Board of Directors.
- Schedule and coordinate two Board meetings annually.
- Prepare meeting materials, reports, and updates for Board review.
- Coordinate and facilitate bi-monthly HCN Committee meetings.
- Maintain records of Board and Committee activities and decisions.
Program and Food Distribution Operations
- Develop and oversee HCN food distribution programs and operational activities.
- Lead, manage and coordinate food distribution events and open hours.
- Ensure inventory is maintained to meet community needs.
- Coordinate volunteers and resources to support efficient operations.
Purchasing and Inventory Management
- Procure food and related supplies.
- Maintain vendor relationships and accounts.
- Monitor inventory levels and coordinate replenishment as needed.
- Manage food donations and distribution logistics.
Recordkeeping and Database Management
Maintain accurate organizational records such as:
- Recipient records
- Volunteer records
- Donation and deposit tracking
- Expense records
- Organizational calendar
- Event planning and documentation
Volunteer Coordination
- Recruit, coordinate, and communicate with volunteers.
- Support volunteer scheduling and engagement activities.
- Attend regular volunteer sorting and stocking sessions.
- The current hours are as follows (subject to change):
- 2nd Tuesday of each month, 2:00 PM – 4:00 PM
- 4th Tuesday of each month, 2:00 PM – 4:00 PM
Community Engagement and Communications
- Maintain HCN’s Facebook presence and provide regular updates with the support of SP’s digital marketing team.
- Promote HCN programs, volunteer opportunities, and community impact.
- Responsible for community outreach and relationship-building efforts.
- Design and execute events and initiatives that further HCN’s mission.
Required Attendance
The Director is expected to attend:
Food Distribution Open Hours (current hours)
- 2nd Wednesday of each month, 10:00 AM – 12:00 PM
- 4th Wednesday of each month, 5:00 PM – 7:00 PM
Volunteer Sorting and Stocking Sessions (current hours)
- 2nd Tuesday of each month, 2:00 PM – 4:00 PM
- 4th Tuesday of each month, 2:00 PM – 4:00 PM
Additional hours may be required for Board meetings, Committee meetings, purchasing activities, community outreach, and special events.
Qualifications
- Passion for serving the community and supporting HCN’s mission.
- Strong organizational and administrative skills.
- Ability to build rapport and maintain professionalism with community members, donors, recipients, committee members, and all other interactions.
- Ability to work independently and manage multiple priorities.
- Experience coordinating volunteers or community programs preferred.
- Proficiency with database management and Microsoft Office applications.
- Experience with Boomerang or similar nonprofit donor management systems preferred.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Reliable transportation for local errands, purchasing, and event attendance.

Physical Demands
While performing this job, the employee is frequently required to stand, lift, walk, see, talk or hear and lift up to 50lbs with or without assistance.
The employee is regularly required to sit and or drive independently to other locations.
Compensation
Part-time position with flexible scheduling. Compensation commensurate with experience and qualifications.
Benefits Package
This is a part-time position scheduled for 20 hours or less per week. As such, this role is not eligible for the full benefits package; however, employees in this position may be eligible to participate in select benefits, subject to plan terms and eligibility requirements.
