Position Overview:
We are seeking a Payroll Assistant to be based in our Woodcliff Lake, NJ office. This role will support payroll operations across all states in which we operate, helping ensure caregivers and office staff are paid accurately and on time, regardless of location. The position will begin part-time, approximately 20 hours per week with flexible scheduling, and is expected to transition to full-time in the near future as business needs grow.
Responsibilities:
- Assist with processing weekly payroll for caregivers and office staff across multiple states, ensuring accuracy of hours, pay rates, and deductions in accordance with each state's wage requirements.
- Review and verify timesheets and EVV (Electronic Visit Verification) records for caregiver visits prior to payroll processing, across all operating markets.
- Support new hire payroll setup and HRIS system data entry for staff onboarding in any state.
- Respond to employee and caregiver payroll inquiries, researching and resolving discrepancies in a timely, professional manner.
- Maintain accurate, organized payroll records and support compliance with federal, state, and other applicable wage-and-hour regulations across all jurisdictions in which SOHC operates.
- Assist with processing deductions, garnishments, and benefits-related payroll adjustments.
- Support month-end and year-end payroll reporting, including assisting with W-2 preparation across states.
- Collaborate with the Finance and HR teams on payroll-related audits, reporting, and process improvements as SOHC scales into new markets.
- Any other tasks assigned by management.
Qualifications
- 1–2 years of payroll, bookkeeping, or related administrative/accounting experience preferred.
- Comfort working across multiple state jurisdictions and adapting to varying wage-and-hour rules is a plus.
- Multi-state or multi-entity payroll exposure is a strong plus, but not required.
- Familiarity with payroll software, HRIS platforms, or timekeeping systems is a plus.
- Strong attention to detail and accuracy when working with numbers and employee data.
- Ability to maintain strict confidentiality of sensitive payroll and employee information.
- Proficient in Microsoft Excel and comfortable learning new systems.
- Excellent organizational, time-management, and written/verbal communication skills.
- Experience in home care, healthcare, payroll, or another fast-paced service environment is a plus.
- Reliable, self-motivated, and eager to take on more responsibility as the role grows.
