With a strong commitment to service and safety, we are seeking an organized and dependable Accounts Payable Specialist to manage accounts payables for multiple companies, while also being responsible for employee timekeeping. You'll also supporting the Office Manager with additional administrative tasks to help keep daily operations running smoothly.
Position Summary
The Accounts Payable Specialist plays a key role in the office by ensuring vendor invoices are processed accurately and on time, employee time records are maintained correctly, and administrative support is provided as needed. This position requires strong attention to detail, excellent organizational skills, and the ability to handle sensitive financial and employee information with confidentiality and accuracy.
Key ResponsibilitiesAccounts Payable
- Process, review, and code vendor invoices accurately
- Match invoices with purchase orders and delivery documentation
- Maintain vendor files and ensure proper supporting records are organized
- Track payment schedules and assist with timely payment processing
- Support month-end closing tasks and reporting related to accounts payable
Timekeeping
- Collect and review employee timesheets for accuracy and compliance
- Enter and maintain time records in the timekeeping system
- Coordinate with supervisors to resolve missing or incorrect time entries
- Assist with preparing payroll data for processing
Office & Administrative Support
- Support the Office Manager with daily office operations and administrative tasks
- Maintain organized filing systems for job files, receipts, reports, and correspondence
- Answer phones, greet visitors, and handle general inquiries professionally
- Assist with tracking project-related documents and reports
Qualifications
- 2 years of administrative experience (construction experience preferred)
- Working knowledge of accounts payable and timekeeping processes
- Experience with QuickBooks Desktop
- Proficiency in Google Workspace (Docs, Sheets, Drive, etc.)
- Strong attention to detail and accuracy
- Excellent communication and interpersonal skills
- Ability to prioritize tasks and meet deadlines in a fast-paced environment
- High school diploma or equivalent required; additional business/accounting coursework is a plus
