Role Overview
We are seeking a Operations Associate who is detail‑oriented, proactive, and eager to contribute to both operational excellence and client service support within a collaborative team environment.
This role plays an important part in delivering a high‑quality client experience through responsive communication, accurate execution, and continuous refinement of firm processes. Working closely with other members of the operations team, the Operations Associate helps ensure client requests are handled smoothly, consistently, and professionally while supporting the ongoing efficiency and scalability of our internal systems. The position offers meaningful opportunities to broaden skills and take on additional responsibilities over time.
Key Responsibilities
- Support and execute operational workflows related to account opening, maintenance, transfers, and money movement
- Communicate with clients in a professional, warm, and timely manner regarding service requests, paperwork, and follow-up items
- Maintain the accuracy and integrity of client data within CRM and custodial systems
- Collaborate closely with operations team members and advisors to ensure seamless and timely execution of client requests
- Assist with trade execution and ensure accurate daily trade reconciliation
- Identify opportunities and contribute ideas to improve processes, reduce operational risk, and enhance the overall client experience
- Support firm initiatives, system enhancements, and technology improvements as part of a broader operations team
Qualifications
- 2 years of experience in wealth management or financial advisory operations
- Strong working knowledge of custodial platforms, account paperwork, ACATs, money movement, and trading workflows
- Experience with CRM systems such as Redtail, Wealthbox, Salesforce, or similar (we use Redtail)
- Strong attention to detail with a consistent commitment to accuracy and follow-through
- Strong written and verbal communication skills, with the ability to interact professionally and confidently with clients and colleagues
- Proficiency in Microsoft Excel and comfort learning new systems
- Bachelor’s degree or equivalent professional experience
- Proven ability to manage multiple priorities while meeting deadlines and supporting team objectives
Work Structure
- Hybrid schedule with in-office collaboration Tuesday through Thursday and optional remote work on Mondays and Fridays
Compensation
- Target total compensation of $80,000 to $90,000, including base salary and bonus
- Base salary range of $75,000 to $85,000, depending on experience and qualifications
- Bonus eligibility based on company and individual performance
- Comprehensive benefits including 85% paid medical/vision, 401(k) matching up to 6% plus an additional 4% company contribution, for total company contribution of up to 10%, parental leave, free financial planning for employees
