St Sophia’s Greek Orthodox church is seeking a full-time office administrator to support their active and growing church and congregation. The office administrator is responsible for overseeing the day-to-day operations of the church’s office with guidance from the Parish Council President.
They will oversee the administrative tasks to support church activities, the priest, volunteers, manage the church calendar, and coordinate church events. The Office Administrator will also be responsible for maintaining church records and preparing reports. The ideal candidate will be a highly organized and efficient individual with excellent communication and interpersonal skills. He or she will also be proficient in Microsoft Office and QuickBooks.
Essential Duties & Responsibilities
· Answer all incoming calls and direct them to the appropriate individual.
· Greet all visitors, ascertain the nature of their business, and direct them to the appropriate individual.
· Maintain a master calendar along with the priest of all church events and activities, ensuring that all events are properly publicized.
· Support coordination of religious holiday services and special events such as weddings, funerals, baptisms, and other ceremonies.
· Order church supplies including candles, toilet paper, and other items for religious ceremonies
· Support internal church organizations and ministries.
· Coordinate and execute on Greek Festival tasks including but not limited to necessary permits and vendor contracts.
· Act as church historian ensuring church records are organized and up to date by filing documents and answering correspondence.
· Manage all church correspondence, including but not limited to emails, letters, and cards.
· Serve as the point of contact for all church vendors and service providers.
· Support the maintenance of all church facilities and equipment, coordinating with outside contractors as needed.
· Track all income and expenses and preparing regular reports for the church Parish Council.
· Prepare and distribute the monthly church newsletter monthly and the weekly bulletin.
· Update and maintain the church website and social media accounts.
· Keep accurate records of all church members and attendees.
· Perform any other duties as assigned by the Priest or Parish Council President.
· Support the church’s finances by recording contributions, paying bills, and submitting tax forms to the IRS and NYS.
· Manage the church’s membership database.
Required Skills and Qualifications
· Two to three years of successful administrative or office management experience.
· Excellent written and verbal communication skills.
· Strong time-management skills and multitasking ability.
· Proficient in Microsoft Office, with aptitude to learn new software and systems like ACS Technologies Parish Data System, Ledger, Vanco, WIX and Mailchimp.
· Associates or college degree or equivalent experience required.
· Experience managing expenses.
· Experience developing internal processes and filing systems.
· Ability to maintain confidentiality and a high level of integrity and discretion.
· Ability to adapt to changing situations in a calm and professional manner.
· Familiarity with the Greek language and the Christian Orthodox religion preferred but not required.
· Ability to work remotely as needed.
