Position Summary
The Parish Administrator is responsible for overseeing administrative and operational functions of the church under the direction of the rector and vestry (church leadership). This role supports the mission of the church by ensuring efficient office operations, financial coordination, facility management, communication, and staff support. The ideal candidate is organized, detail-oriented, service-minded, and able to maintain confidentiality while working collaboratively with church leadership, staff, volunteers, and congregation members. The role requires up to 20 hours per week, schedule to be coordinated with the rector and vestry.
Key Responsibilities
Administrative Operations
· Manage administrative operations of the church in support of church leadership
· Keep records, databases, membership information, and filing systems up to date with the utmost confidentiality
· Coordinate the church calendar, to include:
o church meetings and events
o use of the church buildings by the congregation and outside groups
o volunteer schedules, onboarding and training
o facilities maintenance
· Assist as needed with special events, outreach initiatives, and community engagement efforts
· Complete all other duties as assigned
Financial & Budget Support
· Assist with budgeting, expense tracking, and financial reporting
· Support church leadership with financial administration
· Handle all vendor communications and assist with account receivables/payables
· Assist with timely preparation of the monthly treasurer's report
Facilities & Event Coordination Management
· Assist with maintenance requests and vendor relationships
· Ensure church facilities are prepared for worship services, meetings, and events in coordination with church leaders and volunteers
Communication
· Answer phones, emails, and inquiries in a kind and professional behavior
· Prepare correspondence, reports, bulletins, and church communications in a timely manner
· Manage church communications including newsletters, website, social media updates and announcements
Qualifications
· High school diploma required; Associate or Bachelor Degree preferred
· Previous administrative, office management required and nonprofit/church experience preferred
· Proficiency in Microsoft Office, Google Workspace, and church management software preferred
· Experience with budgeting/bookkeeping preferred
· Strong organizational and multitasking abilities
· Excellent written and verbal communication skills
· Ability to maintain confidentiality and professionalism
· Ability to work independently and collaboratively
· Strong interpersonal skills and a servant-hearted attitude
· Must be able to pass Diocesan background check
Compensation
· $15-$20/ per hour
