St. Mary's Medical Center is looking for an Administrative Assistant to preform various administrative duties related to the operation of the multiple clinical and non-clinical departments. Also responsible for handling communication relevant and confidential to the department. May include the following:
St. Mary's Medical Center is looking for an Administrative Assistant to preform various administrative duties related to the operation of the multiple clinical and non-clinical departments. Also responsible for handling communication relevant and confidential to the department. May include the following:
- Acts as receptionist /greeter for the department.
- Obtains and files copies of RN and LPN licensure.
- Coordinates and maintains documents as well as follow up for nursing clinical ladder program.
- Takes messages, fields’ questions and routes calls as appropriate within the scope of authority.
- Orders and maintains office supply inventory, keep equipment supplied with necessary items for department(s).
- Coordinates the scheduling, utilization and set-up of conference rooms for meetings and other functions.
- Coordinates equipment request (delivery/pick up, trouble shooting) for meetings and other functions.
- Completes and distributes designated monthly, quarterly and annual reports to Department Leader or authorized designee.
- Takes minutes of designated meetings, types with accuracy and timeliness and distributes minutes in timely fashion.
- Maintain with accuracy and order, all files of correspondence, reports, equipment and purchases for the department.
- Plans and coordinates for designated activities/events for the department(s).
- Maintains accurate timecards in Kronos. Responsible to sign off payroll for the department(s) as requested.
- Maintains working knowledge of Kronos and available reports.
- Identifies own strengths and weakness as an indication of professional growth.
- Maintains confidentiality.
- Performs other duties as required or assigned.
