This position is a non-licensed/certified staff member authorized to transport and/or stock medications to meet specified essential job duties. This includes staff who do not have the authority to prescribe, dispense and/or administer medications.
Under the direction and supervision of the RN, the Secretary is responsible for the organization and daily operational support of the patient care unit and for performing clerical and receptionist duties, including requisitioning supplies, equipment and service from other departments. The Secretary will be responsible for adhering to Hospital Policies and Nursing Standards. The Secretary performs duties and responsibilities in a manner consistent with our mission and values.
1. Independently performs clerical/secretarial duties to include but not limited to: 35%
a. Assemble medical record.
b. Accurately completes admission paperwork, authorization for treatment, explains documents, identify Medicare patients, obtains all necessary signatures, gets ID bands, as needed.
c. Scan information into HBF.
d. Enter tests and procedures in Star.
e. Performs order entry for labs and XRays.
f. Accepts patient reservation for inpatient.
g. Reviews face sheet information with patients, verifying name, address, phone number, date of birth and e-mail ddress and corrects as necessary.
h. Verify all information collected for accuracy.
i. Checks/completes all consult orders.
j. Calls HIS for copies of Advanced Directives and files them into the chart.
k. Completes discharge process- Transition of Care documents, discharge in STAR, place room number on housekeeping sheet, and breakdown chart.
l. Transfers patients location and status in Cerner and STAR.
m. Print reservation/OR/cath lab list.
n. Copy/request printing of chart for transfer.
o. Performs computer entry as needed.
p. Faxes reports.
q. Stocks supplies for printer and copier.
r. Enters charges/credits, updates status and location.
s. Collate reports from printer and provide to charge nurse.
t. Prints emergency preparedness list, medication sheets, etc. as directed.
2. Performs receptionist duties to include but not limited to 30%
a. Acknowledges and greets guests/visitors to the division.
b. Escorts new patients to their room.
c. Answers telephone within 3-4 rings using telephone etiquette; takes and relays messages to appropriate personnel.
d. Maintains positive communications with patients, coworkers, and staff.
e. Facilitate calls to physicians, other departments, transportation, etc.
f. Update whiteboard f. Program and answers call light and relays messages.
3. Performs division duties to include, but not limited to: 25%
a. During Code Blue, calls doctors, clergy, SPD supplies, lab, etc.
b. Calls and reports repairs or needs to maintenance.
c. Inventory/order and stock paper and isolation supplies.
d. Handles 'lost and found' items.
e. Pass/return trays to carts.
f. Pass Water
g. Record refrigerator temperature.
h. Cleans equipment.
i. Assist with cleanliness and organization of the nurses station and patient rooms.
j. Assist with the recording or collection of QI data.
k. Transports patients as appropriate.
l. Prepare rooms for admissions.
4. Performs other work duties as assigned (i.e. cross-train as registrar). 5%
a. Send messages to Ascom phones
b. Checks blood tubes for expiration dates monthly.
5. Secretaries in the registrar role will coordinate patient flow through the registration process. Accurately pre-registers and registers patients. 5%
a. Accurately completes admission paperwork; obtains patient signatures.
b. Collects copays and deposits
c. Accepts patient reservation for inpatient.
d. Obtains face sheets as requested.
e. Initiates documentation on Advance Directive, obtaining copy from HIS as necessary.
f. Gives each patient admission packet and review contents i.e. patient rights, patient menu explaining how/when to order.
g. Maintains petty cash.
h. Sets up welcome video as appropriate.
i. Assist secretary as assigned.

Employee is required to sit, walk, and stand frequently. Employee must lift/carry light (1-20 lbs.) and medium (21-50 lbs.) loads occasionally. Employee is occasionally required to bend, squat, crawl, kneel, climb, and lift from waist to overhead. Employee is occasionally required to reach forward and reach overhead. For repetitive action, employee is required to use both hands for simple grasping and pushing/pulling. Employee is frequently exposed to electrical hazards and CRT terminal work.
