The Administrative Assistant II provides high-level administrative support to various departments and senior staff, ensuring effective office operations and facilitating smooth departmental functions.
Primary Duties Performed
- Maintains complex record-keeping and filing systems for storage and retrieval of correspondence, contracts, and departmental personnel records
- Compiles and organizes statistical data and information for preparation of schedules, reports, or budgets
- Schedules and coordinates meetings and events, managing multiple calendars for campus leadership and ensuring efficient time management
- Provides administrative support, including assisting faculty with administrative tasks, overseeing office procedures, and training staff
- Manages payroll processes, including preparing workloads, entering Electronic Personnel Action Forms (EPAFs), and processing adjunct and overload assignments
- Assists with requisitions and encumbrances, ordering supplies for various departments, and managing budgets
- Supports academic functions, such as class scheduling, managing Memorandums of Understanding (MOUs), and ensuring compliance with academic policies
- May schedule meetings and book rooms using the EMS reservation system.
- Additional duties as assigned
Qualifications/Experience
- High school diploma or equivalent with 3 - 5 years of related experience
- Must pass a skills assessment at the intermediate level of proficiency in Microsoft Office
- Preferred: Associate degree in Business Administration, Communication, Education, or a related field with a minimum of two (2) years of experience
