What are the responsibilities and job description for the Secretary/Receptionist position at St. Joseph the Worker?
The secretary /receptionist works in the office each day from 8:30 to 4:00, with a 30 minute lunch break. 1 to 2 years of similar experience. The successful candidate will be:
1. A practicing Catholic in good standing.
2. Complete diocesan sponsored safe environment training and criminal history background check in timely compliance within diocesan standards.
3. Perform effective and understandable verbal and written communication in all formats.
4. Possess excellent interpersonal skills to meet and greet visitors to the office, answer written and verbal requests and inquiries for routine information and receive telephone callers and route them to the appropriate office.
5. Take messages and provide them to the appropriate staff member.
6. Receive and distribute incoming and outgoing mail. Open, sort and route mail. Assist with bulk mailings. Sign for and distribute packages / supply deliveries.
7. Compose and send routine acknowledgements, or form letters when applicable.
8. Assist in preparing and administering office accounts and records to include filing, entering, updating, and retrieval of information available in paper format and computer database files.
9. Receive and coordinate the written and online information for publication in the church bulletin using the current software program and forward to printer.
10. Assist with coordinating the written and online information for News You Can Use, the Parish’s email newsletter.
11. Register new parishioners and update existing parishioner information using the parish database.
12. Perform updates and/or monitoring the following:
· Parish website and Facebook account.
· Sacramental Record Books, send record notification and fulfill certificate requests.
13. Handle various registrations for events i.e. Faith Formation, Preschool, VBS, retreats and other Parish events as needed.
14. Maintain master calendar for all church activities. Insure it is updated and maintained to include web-based monthly calendar.
15. Schedule and coordinate requests for reservations of church meetings, meeting rooms and use of other church facilities.
16. Maintain inventory of office supplies and replenish inventory as needed.
17. Gather material, obtain documents and background information for reports and other purposes in accordance with specific instructions. Ensure confidentiality of information.
18. Receive money and issue receipts to outside groups utilizing facility.
19. Directly provide clerical support to the Pastor. Compose documents, work with Excel, data entry, format and proof materials.
20. Prepare the Prayers of the Faithful for weekend and holy day liturgies.
21. Support office by using automated equipment such as networked computers and printers, copy equipment, voice messaging and electronic mail systems, and telephone system.
22. Backup Office Manager for various tasks as assigned.
23. Assist other office positions as assigned.
24. Perform other related duties as assigned
25. Attend training, seminars and workshops as assigned.
26. Attend Staff meetings.
27. Perform all duties in compliance with safety standards established by the Diocese of Springfield in Illinois.
28. Proficient in use of Microsoft Office Suite (Word, Excel, PowerPoint). Advantageous to have experience with other software products i.e. Push Pay; Paylocity; ParishStaq.
29. Receive and schedule mass intentions and handle mass stipends according to established procedures.
Job Type: Full-time
Pay: $19.75 - $20.83 per hour
