SUMMARY

Under the leadership of the Pastor, the Liturgy Coordinator & Administrative Assistant to the Pastor is responsible for the preparation and celebration of Catholic Liturgy and Rituals as well as clerical work. He/She develops and directs liturgical ministers to provide leadership on Sundays and other special liturgies that will lead parishioners “to that full, conscious, and active participation”. The position enhances the effectiveness of the parish administration by coordinating and providing professional administrative support to the Pastor. This position will report directly to the Pastor.

ESSENTIAL DUTIES AND RESPONSIBILITIES 

The following duties and functions, as outlined herein, are intended to be representative of the type of tasks performed within this classification. They are not listed in any order of importance. Other duties may be required and assigned.

Pastoral Minister as Person of Faith.

As a pastoral minister, the Liturgy Coordinator has the responsibility to nurture his or her own faith to nurture the faith of others.

Liturgical Coordination.

· Helps the parish grow in its understanding of liturgy in the Church.

· Ensures the parish worship conforms to the liturgical norms and laws of the Church

· Coordinates and supervises the formation, training, and scheduling of all parish liturgical ministers (sacristans, alter servers, ministers of hospitality, lectors, extraordinary ministers of Holy Communion, Eucharistic linens helpers, alter guild, Art & Environment, etc).

· Collaborates with the parish formation team in the preparation and execution of all parish liturgies.

· Ensures the integrity of the liturgical year in coordination with the Music Ministry and Clergy.

· Makes liturgical policies in conjunction with the Liturgy Commission and pastoral staff, taking into consideration Diocesan and national guidelines.

· Maintains current records on all liturgical ministers. 

· Maintains library of current liturgical resources.

· Maintains inventory and orders the supplies needed for the liturgies and sacramental celebrations.

· Oversees the handling and use of vestments, vessels, linens, etc.; maintains order in all liturgical ministers’ areas (sacristy, choir area, audiovisual room, etc.). 

· Works with the Volunteer Coordinators and Liturgical Committee Heads to recruit, train, and schedule volunteers for each Liturgical Ministry, Sacrament, and Pastoral Care ministries.

· Provides pastoral support to families who have lost a loved one and coordinates the Funeral Mass.

· Coordinates and schedules Nursing home Masses and visits, with the homebound ministry.

· Supervises the planning and execution of the Church liturgical environment.

· Foster parishioner participation in Parish’s liturgical life.

Administrative Support.

· Formulates an annual budget for the parish liturgical program in consultation with parish Operations Manager.

  • Assists the Pastor by providing general      administrative and support duties (correspondence, communications,      calendaring, travel arrangements, follow-up, etc.).

· Ensures that the Pastor and appropriate personnel are apprised of developments and situations, exercising good judgment, and ensuring confidentiality is maintained in all areas of responsibility

  • Coordinates, sets-up, and assists with administrative needs for      meetings, conferences, liturgical celebrations, and other events as      needed.
  • Maintains the Pastor’s calendar.
  • Attends required meetings and gatherings, taking      meeting minutes and offering assistance as needed.
  • Develops and maintains effective records and information      management systems, including a current and accurate filing system.
  • Opens and distributes daily mail and makes determination as to      importance and priority; organizes work by reading and routing      correspondence, collecting information; initiating communication.
  • Responsible for organizing and utilizing volunteer services.
  • Maintains parishioner confidence and protects operations by      keeping information confidential.
  • Attends required meetings and gatherings.
  • Performs all other duties as assigned.

QUALIFICATIONS

CATHOLIC FAITH

Practice of the Catholic faith is required. Church employees must conduct themselves in a manner that is consistent with and supportive of the mission and purpose of the Church. Their public behavior must not violate the faith, morals or laws of the Church or the policies of the diocese.

EDUCATION and/or EXPERIENCE

Bachelor's degree preferred in Theology, Liturgy or equivalent; Or two or more years of experience as a parish liturgist or liturgical coordinator; Possesses a strong knowledge of Church liturgical documents, ritual books, and music publishers; knowledge and experience of liturgical music is a plus; proficient in the use of computers, printers, copiers, and the internet. Proficient in the use of Microsoft products, specifically MS365, Word, Excel, Publisher, and PowerPoint.

  • Ability to work effectively in a fast-paced, multi-faceted      environment while maintaining the highest degree of accuracy and quality      of tasks assigned.
  • Ability to interact effectively in a wide range of situations and      respond to the pressure of changing project scope, conditions, and      deadlines.
  • Ability to quickly earn the confidence of individuals and groups      they collaborate and coordinates information, including members of various      diocesan and parish committees, and clergy.
  • Demonstrates resourcefulness as they apply to all areas of      responsibility. Maintains customer confidence and protects sensitive      operations by keeping information confidential.

· Attention to detail and working well with others is also required. 

· A high level of organizational and interpersonal skill is required. 

· Must possess a heightened sense of confidentiality and a strong sense of respect for and knowledge of the Roman Catholic Church. 

· Must be able to work well with various personalities within the Catholic Church. 

WORKING CONDITIONS

The working hours of this position are not limited to an 8-hour day. This person will need to be available in the evening and weekends, as needed. Performs extensive computer work. 

PHYSICAL REQUIREMENTS

The ability to sit and stand for long periods of time. Must be able to reach, grasp, feel, and see up close and from afar. Must be able to use basic office computer hardware and peripherals, with or without reasonable accommodation. Must be able to communicate verbally and in written form. Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (15 pounds).
