POSITION SUMMARY:
The Bookkeeper provides bookkeeping support and general finance duties for the principal and staff (payroll, accounts payable, accounts receivable, tax preparation, benefit packages) and The Diocese of Yakima. The Bookkeeper maintains strict confidentiality regarding all financial and personal information during the performance of job duties and provides professional and friendly demeanor in representing the school to families, the Diocese, vendors and the public.
MAJOR RESPONSIBLITIES:
1. Provide Bookkeeper services
a. Maintain accurate record of Accounts Receivable and Accounts Payable
b. Complete accurate financial administration with QuickBooks Software
c. Prepare monthly budget reports and attend monthly Finance Meeting and Annual Diocese of Yakima Bookkeeper training
d. Distribute monthly statements to families for tuition and other fees
e. Receive, log, post and deposit all school fees and donations
f. Help complete annual budget/tuition schedule for the following school year
g. Organize, maintain and reconcile all school bank accounts
2. HR duties
a. Generate payroll for salary and hourly employees bi-monthly, including payroll liability payments
b. Prepare Quarterly and Annual Taxes and reports
c. Create contracts and salary change forms for all staff
d. Maintain and educate employees regarding employee benefit package (medical/dental/vision/life insurance/self-paid insurances/401k/AFLAC)
3. Other General and/or clerical services
a. Compose letters, reports, minutes and other general correspondence
b. Maintain efficient and organized electronic and paper data collection and filing systems for school records
c. Maintain delinquency records and set up payment plans
d. Assist the Kitchen Director/Manager in maintaining the National School Free and Reduced lunch program with OSPI
e. Coordinate with the Parent Fundraising board with all fundraisers
f. Other duties and responsibilities as determined by the school administration
WORK SCHEDULE:
Office hours are from 7:30am to 4:00pm and will occur on site. Workdays follow the annual school calendar with reduced summer hours to be determined. Any alterations to the schedule must be communicated to the principal. Time off may be approved if allowed by applicable policies.
JOB REQUIREMENTS:
1. Physical Requirements: This position normally requires the physical demands of standing, walking, negotiating stairs, bending, lifting or performing other work required.
2. Non-Physical Requirements:
a. Education
1) At least 2 years of bookkeeping training
a. i.e. Business college degree or A.A. with emphasis in accounting
2) B.S. in accounting or business is preferred but not required.
3) Bilingual in English and Spanish is preferred but not required.
b. Experience
1) At least 2 years of bookkeeping experience, preferably with QuickBooks.
2) Working knowledge and operation of computers
3) Competency in Word and Excel.
