Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring seamless administrative support. Responsibilities
- Maintain appropriate professional boundaries and avoids conflict of interest
- Represent St. John’s at the front desk, welcoming visitors and answering the phone during office hour
- Maintain the master calendar of events, activities, and worship services
- Maintain parish files and archives, including membership records, prayer requests
- Attend staff meetings
- Order and maintain office supplies in conjunction with the financial secretary
- Maintain and distribute committee rosters and schedules, including Altar Guild, Ushers, Acolytes, lectors, chalice bearers, vergers, ushers, and coffee hour
- Assemble and prepare materials for vestry meetings and retreats, awards, and order meals
- Assist with the annual holiday festival, including: coordinating ticket sales and mailings: letters to cast members, YSU, and the Youngstown Fire Dept. etc
- Communicate with Altar Guild regarding ordering supplies, funerals, weddings, and baptisms
- Coordinate communications and marketing activities for St. John’s
- Schedule and maintain records of rentals of the Great Hall and other spaces in the church
Digital Responsibilities and Communications
- Write, edit, and manage content for website, weekly e-newsletter, monthly newsletter, social media, Sunday bulletin, print mailings, brochures and other channels
- Support stewardship and development with materials that promote annual giving, Capital campaigns, and other fundraising activities
- Manage the production and design of St. John’s annual report
- Response to mail, phone calls and emails appropriately
- Back up all computer files
Requirements
- Excellent written and verbal communication skills
- Experience with graphic design/production highly desirable
- Experience with maintaining social media presence and email campaign software
- Proficiency in Microsoft Office Suite and creative software such as Adobe or Canva
- Strong organizational and project management skills
- Ability to prioritize and complete tasks without direct supervision
Qualifications
- Any appropriate combination of education, training, course, work, and job experience
- Previous graphic design experience is a plus
Schedule and compensation
- This is a part-time position averaging 16 hours per week with potential for additional hours
- Office hours, and days are negotiable
- Additional hours may occasionally be required, especially during busy seasons of parish life, including holy week, Christmas, festivals, and major parish events
- Compensation is determined based on qualifications and experience
