St. Ignatius Catholic School is hiring a 20-hour-per-week Administrative Assistant to support the Director of Business Services. This hourly position will provide essential support to general business management and human resources functions. In 2021, we expanded our school to include a Chesterton Academy High School. Grades 3-12 attend daily Mass, and have regular opportunities to receive the sacraments. We are located in the heart of the Fox Valley, with close proximity to Appleton and Green Bay.
PRIMARY RESPONSIBILITIES
Administrative Job Duties
Under the direction of the Director of Business Services, support the Business Services Office as needed, including:
- Support all internal and external business and human resources related inquiries or requests
- Support maintaining employee records
- Serve as the school’s Local Safe Environment Coordinator for the Diocese of Green Bay Office of Safe Environment, ensuring all staff have submitted background checks, are VIRTUS trained, and up to date with all Safe Environment requirements
- Support oversight of onboarding and legal paperwork
- Under the direction of the Director of Business Services and Administrative team, implement an effective onboarding process
Human Resources Support
Under the direction of the Director of Business Services, develop, facilitate, and implement all phases of the recruitment process, including:
- Accurate maintenance of internal and external job postings, including working closely with the Advancement team for streamlining practices
- Identify and implement efficient and effective recruiting methods and strategies based on the available role, current industry standards and best practices, and the needs of the organization
- Work with the Director of Business Services and other administrative staff to develop and implement new hire orientation and employee recognition events
- Support and organization work with HR software
- As-needed support for events and processes
- Collaborate with the Administrative Team to provide data for reports as needed
- Screen and identify applicants to ensure that candidates are both mission-aligned and well-equipped with the desired skills and qualifications
- Coordinate interview process, including scheduling, managing participants, working collaboratively with members of the Administrative team to prepare questions and other hiring and selection materials
- Track the status of candidates in the HRIS and respond with follow-up correspondence as needed, including at the end of the recruitment process
- Perform reference checks and ensure Diocesan Safe Environment requirements are met
- Support the preparation of employment contract/work agreement packets

QUALIFICATIONS
- Associate degree
- 1 year of experience as an administrative assistant
- Background in a non-profit environment
- Diocese of Green Bay Office of Safe Environment Requirements-VIRTUS Training and Background Check
PHYSICAL REQUIREMENTS
- Work is typically performed in an inside, temperature-controlled environment
- Continuously requires vision, hearing, communicating
- Frequently requires fine dexterity, periods of sitting, working at a computer
- Occasionally requires standing, walking, lifting, carrying, reaching, kneeling, pushing, pulling, bending, climbing, and the like
- Must be able to lift up to 15 pounds at a time
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to access and navigate all areas of the school and other facilities as needed
