Position Summary: Under the direction of the Director of Nursing, The Nursing Scheduler is responsible for supporting the Nursing Department by creating and maintaining the staffing schedule, ensuring that the department is adequately staffed, responsible for a broad range of administrative duties, including but not limited to filing, creating documents, reviewing and approving billing from outside vendors, and any other duties as outlined by the Director of Nursing.

Requirements:

Education and/or Experience: A High School Diploma or equivalent is required. Prior similar experience is preferred, but three-six months of on-the-job training is acceptable. Experience working with older adults and caregiving experience is preferred. Must have taken the following CBRF Courses: First Aid and Choking, Standard Precautions and Fire Safety (can take these courses on-the-job).

Skills/Knowledge/Abilities:

  • Must possess superior communication and organizational skills and be able to prioritize and work simultaneously on several projects.
  • Must be detailed oriented and be able to work in a fast-paced environment.
  • Ability to operate within a team atmosphere.
  • Judgement skills.
  • Requires to be available outside of business hours when needed to handle scheduling calls.
  • The ability to work effectively in a Microsoft Windows environment (Word, Excel, Outlook etc.)
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to read and comprehend information.
  • A professional demeanor and the ability to retain confidential information is essential to this position. The successful Healthcare Coordinator will be able to work on their own with minimal supervision as well as part of a team.

Essential Duties and Responsibilities:

1. Creates, maintains, and adjusts staff schedules to ensure appropriate coverage for all shifts.

2. Coordinates shift changes, fill open shifts with staff or agency employees, and manage call-ins or time-off requests.

3. Communicates staffing changes (FTE, Hours, Shift etc.) to Director of Nursing, Nurse Supervisors, and Human Resources.

4. Creates profiles for all staff in the WhenIWork app, including adding all staff schedules, maintaining the app and updating when there are changes to schedules and shift openings.

5. Sends out scheduling reminders and/or updates to all nursing staff.

6. Maintains the master staffing schedule, ensures accuracy of it, and updates schedule changes and open positions on it.

7. Assists the Director of Nursing with monitoring labor, approving, and editing the time and attendance records of nursing staff and monitors and tracks the attendance daily, documents attendance issues and notifies the Director of Nursing of attendance issues.

8. Works with the payroll administrator to ensure that nursing staff are paid correctly by entering hours and bonuses in finance spreadsheets for payroll.

Administrative Support:

  • Maintains Census in PCC (move-ins, hospital stays, rehab, return home) and maintains the Census spreadsheets.

2. Reviews and authorizes billing from outside providers (i.e. MCOs, supplies and staffing agencies).

  • Assists the Director of Nursing and Resident Care Coordinator with training and meetings.
  • Assists with gathering information and documentation for audits and compliance.
  • Assists in the development and training of employees.
  • Orders and distributes nursing unit care supplies and office supplies.
  • Submits billing of care supplies to Medline.
  • Orders all medical and incontinence supplies for EH and CC.

9. Assists with maintaining accurate medical records and correspondence concerning the records for all residents including thinning charts as necessary. Procures medical records for residents when needed.

10. Assists the DON and with administrative tasks and projects.

Other Responsibilities:

1. Promotes and affirms the values and mission statement of St. Francis Convent.

2. Maintains privacy, confidentiality, and HIPAA compliance.

3. Assists the care staff with responding to lights (check in to see what the resident needs), give residents water when requested and other minor requests, and/or alerts caregiving staff of resident’s requests.

4. Assist with onboarding of new nursing staff.

5. Follows all safety policies and procedures.
