JOB SUMMARY
The Appointment Scheduler plays a key role in ensuring efficient and accurate patient scheduling for St. Cloud Orthopedics. This position is responsible for coordinating appointments both over the phone and in person—scheduling new patients, follow-up visits, post-operative appointments, and rechecks in alignment with provider availability and clinic protocols. The role is critical in creating a positive experience for patients, serving as a key point of contact before and after their visit, and supporting the seamless flow of care within the clinic.
ESSENTIAL DUTIES
- Schedule new and established patient appointments (including post-surgical, re-exams, and new conditions) via phone or in-person.
- Review information from patients and referring clinics to prioritize appointment needs, consulting with medical personnel when necessary.
- Maintain a smooth and efficient flow of physician schedules, identifying and communicating any concerns.
- Follow up with patients who missed appointments and assist with rescheduling.
- Request and coordinate medical records, imaging, and other documentation needed for appointments.
- Handle patient and physician inquiries professionally and in alignment with clinic policies.
- Perform weekly department tasks and assist with other duties as assigned.
- Acts as a back up to the Front Desk team as needed.
EDUCATION AND EXPERIENCE
- High School Diploma or GED required.
- Working knowledge of medical terminology strongly preferred.
KNOWLEDGE, ABILITIES AND SKILLS
- Proficient with scheduling systems, multi-line phone systems, and standard office equipment.
- Strong communication skills; clear and courteous telephone and in-person interactions.
- Familiarity with medical terminology and basic healthcare procedures.
- Ability to follow oral and written instructions accurately.
- Effective organizational skills and attention to detail.
- Strong computer skills
PHYSICAL AND MENTAL DEMANDS
- Sitting: Regularly (majority of shift at a desk or workstation)
- Typing/Keyboard Use: Regularly (extensive computer use required for scheduling and documentation)
- Speaking Clearly: Regularly (communicating with patients and staff via phone and in-person)
- Hearing – Conversation: Regularly (listening to patients, providers, and team members)
- Seeing – Near Vision: Regularly (reading schedules, patient charts, computer screens)
- Reaching/Stretching: Occasionally (reaching for documents or office equipment)
- Lifting/Carrying: Occasionally (up to 10-15 lbs, such as files or office supplies)
- Walking/Standing: Occasionally (moving within the clinic to retrieve documents or coordinate with other departments)
- Work performed primarily in an office environment; fast-paced with frequent multitasking.
