Position Title: Administrative Services Representative Base Starting Salary: $27,300

POSTION SUMMARY
With direct supervision, provides administrative support for the administration division, which includes, Admin, Accounting and Information Technology (IT). Areas of responsibility include, but are not limited to, various human resource responsibilities, various accounting duties, verifying agency deliveries and various computer tasks. Manager will assign specific tasks.
SUPERVISION EXERCISED
The position provides no direct supervision of Health Department Staff.
SUPERVISION RECEIVED
This position is under the direct supervision of the Organizational Communication Manager.
ESSENTIAL FUNCTIONS:
- General administrative duties for the 3rd floor including, but not limited to, monitoring the 3rd floor reception area and assisting individuals as required, answering phones and directing calls, daily agency radio check-in, daily distribution of administration mail, inter-departmental liaison with the courthouse and shares in the daily responsibilities of opening and closing of the 3rd floor.
- Receives goods and updates records for Requests for Supplies/Services/Maintenance orders
for the Health Department.
- Maintains Human Resource (HR) records of Health Department staff including, but not limited to, drivers’ licenses, vehicle insurance, professional licenses, job descriptions and other HR records as assigned. The ability to maintain confidentiality is essential.
- Maintains the calendar for the 3rd floor meeting areas (conference room and lunchroom).
- Coordinates and schedules the use of Health Department vehicles.
- Coordinates and schedules agency travel arrangements for All Staff as needed.
- General accounting assistance as assigned, which may include but is not limited to, preparing deposits, inputting into financial reporting system, preparing revenue entries for supervisory approval and scanning financial records into electronic recordkeeping system.
- Provides administrative support to various committees and Boards as assigned.

Job Requirements:
JOB REQUIREMENTS AND QUALIFICATIONS
Bachelor’s Degree in business or Health Services related field, computer-savvy and proficient in Microsoft Office 365 programs and one (1) year related experience
-OR- Associates Degree in business or Health Services related field, computer-savvy and proficient in Microsoft Office 365 programs and two (2) years related experience
-OR- Graduation from high school and the equivalent of one (1) year additional education and successful completion of business, secretarial or health services related field; computer-savvy and proficient in Microsoft Office 365 programs and three (3) years related experience
-OR- Graduation from high school; computer-savvy and proficient in Microsoft Office 365 programs and five (5) years related experience.
ESSENTIAL PHYSICAL/COGNITIVE ABILITIES
- The ability to sit, flex, stand, reach, and bend.
- The physical strength to lift, carry, and transport materials/equipment that are equivalent to thirty (30) pounds.
- Visual acuity, auditory ability, and clear written and verbal communication ability.
- Manual dexterity and the ability for data input into various computer programs.
- The ability to maintain professional behavior at all times.
SPECIAL REQUIREMENTS
- Must reside within St. Clair County, IL or be willing to relocate to St. Clair County within six (6) months from hire date.
- The ability to work necessary hours to meet the position requirements including evenings and/or weekends as assigned.
- May require provision of services at off-site locations.
- A valid Driver's License.
- A dependable automobile for use in position.
- Auto insurance in effect with minimum limits of liability of $300,000 Combined Single Limit for Bodily Injury and Property Damage OR minimum split limits of liability of $100,000 Bodily Injury each accident, $300,000 Bodily Injury each policy year and $100,000 Property Damage each accident, as per County Policy.
- Adherence to all local, state and federal regulations pertaining to OSHA guidelines.
- Health Department employees:
- Must be current on immunizations per CDC guidelines
- Are required to have a TB test upon hire and separation of employment.
- All employees must adhere to the St. Clair County Personnel Code.
- Position contingent upon continued grant funding.
