Job Description
The purpose of this position is to coordinate and conduct all aspects and categories of absentee balloting. This is a dual position requiring an employee for the Republican party who must be registered voters in Missouri. This position acts under the supervision of the Asst. Director - Elections.
Coordinates system to distribute, track, reconcile and report on absent ballots by category.
Processes the following categories of absentee ballots according to Federal MOVE Act and Missouri statutes for military, active duty overseas military, citizens abroad, regular mail-in absentee voters including permanent disabled and caregivers.
Selects proper ballot and ballot style according to category and home address and mails in accordance with mandated deadlines.
Maintains list of permanently disabled voters and caregivers.
Prepares instructions for absentee voters in accordance with the parameters of the Secretary of State Office for inclusion with mailed ballots.
Tracks and sorts returned ballots and determines if unopened ballot envelopes conform to absentee voter instructions, such as categories requiring a notarized envelope, and are eligible for tabulation.
Compiles and reconciles ballots by category. Prepares reports for Secretary of State Office for each category regarding ballots mailed, ballots returned, ballots counted, ballots not counted and the reason.
Tracks absentee voters in database as ballots are mailed, returned, and reconciles to precinct ledgers for election day to ensure absentee voters do not vote again.
Maintains supplies for absentee voting such as envelopes, ballots, instructions, labels.
Compiles daily walk-in absentee voters to reports.
Maintains knowledge of federal and state regulations concerned with absentee voting.
Works extended hours on election day and election night.
Assists public on daily basis.
Accuracy is paramount, along with the ability to handle high levels of stress and high priority deadlines. Tracks and sorts all absentee ballots.
Confirms that each envelope has not been compromised and that all voting instructions have been adhered to and are eligible for tabulation, or gives reason why ballots are to be rejected.
Assists with voter registration processing and file room maintenance.
Performs data entry, prepares documents and correspondence, files documents and answers phones.
Maintains working documents in folders on the O drive in a current status for accessibility by co-workers and assists co-workers when needed.
