The Parish Administrator serves as the primary coordinator of the administrative life of St. Barnabas Episcopal Church. Working closely with the Rector, staff, volunteers, and parish leadership, the Parish Administrator helps ensure the smooth, organized, and welcoming functioning of the parish office, communications, facilities coordination, and day-to-day operations of the church. 

This position requires exceptional attention to detail, strong organizational ability, excellent communication skills, and a gracious and hospitable presence. The Parish Administrator serves as an important point of connection for parishioners, visitors, vendors, staff members, and members of the wider community.

The Parish Administrator reports directly to the Rector. To maintain appropriate professional boundaries and avoid conflicts of interest, current members of St. Barnabas Episcopal Church will not be considered for this position.

Key Responsibilities

Office Administration and Communications

•        Maintain regular parish office hours and serve as a welcoming and professional presence for parishioners, visitors, vendors, and community members.

•        Maintain parish calendars, records, directories, membership information, and diocesan documentation with a high degree of accuracy.

•        Coordinate substitute office coverage as needed.

•        Attend staff meetings and maintain familiarity with parish activities and communications.

•        Prepare and distribute weekly service bulletins, newsletters, and other parish communications.

•        Maintain and update the parish website and social media platforms.

•        Support parish communications in a manner consistent with the mission and identity of St. Barnabas.

•        Provide general administrative support to the Rector, Vestry, staff, and ministry leaders.

Facilities and Operations

•        Coordinate building use, facility scheduling, and operational needs with parish staff and ministry leaders.

•        Serve as the primary parish contact for vendors, contractors, and service providers.

•        Maintain office-related contracts, records, and service agreements.

•        Coordinate facilities and maintenance needs with designated parish committees and service providers.

•        Provide routine supervision, scheduling, and administrative support for designated parish staff in coordination with the Rector.

Staff Management

•        Supervise the Parkside Hall Coordinator, Sunday Nursery Caregiver, and Sextons (custodians).

Children’s Ministry Support

•        Coordinate with the Sunday School Director regarding classroom scheduling, nursery coordination, volunteer records, and Safeguarding requirements.

•        Maintain Safeguarding records and training documentation for children’s ministry volunteers.

 

Qualifications and Desired Traits

The ideal candidate will demonstrate:

•        Excellent written and verbal communication abilities

•        Proficiency with common office software and digital communication tools

•        The ability to manage multiple projects and priorities independently

•        Professional discretion in handling confidential information

•        Sound judgment, reliability, and initiative

•        The ability to work collaboratively with clergy, staff, volunteers, and parishioners

Prior administrative, nonprofit, church, communications, or office management experience is preferred.

 

Schedule and Compensation

This is a part-time, nonexempt position averaging approximately twenty hours per week. Regular office hours are generally Monday through Thursday from 9:00 am to 2:00 pm, with flexibility to adjust those hours if needed.

Additional hours may occasionally be required during especially busy seasons of parish life, including Holy Week, Christmas, and major parish events.

Compensation is determined based on qualifications and experience. Benefits include participation in the Church Pension Group lay pension plan and any additional benefits approved by the Vestry.
