Administrative Assistant – Operations & HR
Part-Time · 12–15 Hours Per Week · Not Benefits Eligible
Reports to: Principal
Position Summary
St. Anne Catholic School is seeking a detail-oriented and trustworthy Administrative Assistant – Operations & HR to support school leadership. This part-time role provides essential support in human resources coordination with the Diocese of Charleston, payroll processing through ADP, and general bookkeeping. The ideal candidate is organized, discreet, and capable of managing multiple responsibilities with accuracy and care in a mission-driven environment.
Human Resources Coordination
- Serve as the school-level HR liaison, coordinating directly with the Diocese of Charleston HR office on personnel matters, policy updates, and compliance requirements
- Maintain accurate and confidential employee records, including onboarding documents, certifications, and personnel files
- Assist with new hire processes: diocesan paperwork, background checks, and orientation logistics
- Track employee leave requests and communicate relevant deadlines to staff
- Relay HR policy updates from the Diocese to faculty and staff as directed by the Principal
Payroll Support
- Process payroll using ADP in coordination with the Diocese of Charleston finance office
- Track and verify hours for part-time and hourly employees prior to each pay cycle
- Maintain payroll records and assist with year-end reporting requirements
- Identify and escalate payroll discrepancies to the Principal and diocesan contacts promptly
Bookkeeping & Financial Support
- Assist with accounts payable, including invoice processing and check requests
- Reconcile monthly statements and maintain organized financial records
- Support budget tracking and expense reporting for school operations
- Coordinate with diocesan finance personnel as needed
Qualifications
- Associate’s or bachelor’s degree preferred, or equivalent professional experience
- Prior experience in HR administration, payroll processing, or bookkeeping strongly preferred
- Proficiency with ADP or comparable payroll platform required
- Proficiency with Microsoft Office Suite; familiarity with QuickBooks a plus
- High degree of discretion and integrity in handling confidential information
- Strong organizational skills and attention to detail
- Ability to work independently and manage multiple responsibilities within a limited weekly schedule

Hours, Schedule & Classification
12–15 hours per week. Schedule to be arranged in coordination with the Principal. On-site presence required. This is a part-time, non-exempt position and is not benefits eligible.
