Job Description: Church Administrator
Summary of Qualifications/Expectations includes:
Five years of general office administration, bookkeeping, payroll taxes, filing of State and Federal taxes, and QuickBooks.
As the Church Administrator, you will:
Provide an exceptional and welcoming presence for all visitors, connecting them to the appropriate staff and resources.
Be competent in the use of Microsoft Office Suite.
Be Competent in basic arithmetic for accounting purposes.
Summary of Duties of Church Administrator:
· Record Sunday Giving in QuickBooks & Giving in Membership Plus or appropriate software.
· Prepare Sunday Bulletin and Announcements.
· Answer phones and check or leave messages for appropriate people or events, and schedule appointments as needed.
· Update church calendars and communicate with committees, the pastor, and external meeting groups.
· Communicate with Trustees when building issues need to be addressed.
· Write checks to pay bills, monitor spending, and alert committees to over expenditures.
· Back up all computer programs as needed.
· Pick up mail from the Lacey Post Office and distribute it to appropriate recipients.
· Run all background checks for volunteers and employees, maintain files, and update the staff parish relations committee.
· Communicate with the custodian on room set-up and cleaning needs for events, meetings, and preschool.
· Maintain a record of all memorial contributions received and promptly send information to the Finance Committee.
Monthly, Twice Monthly and Quarterly Duties:
· Receive and distribute copies of minutes to appropriate committee members as requested by committee chairs
· Prepare payroll and appropriate taxes.
· Prepare financial statements for the Finance meeting and the church auditor.
· File required tax reports
· Check with Treasurer and compare giving reports to match balances, fix discrepancies, and mail to individuals as instructed by the Finance Committee.
· Process Labor and Industries State reports, and mail the check with the report, if needed.
Yearly Duties:
· Prepare W-4’s for all employees by January 31st of each year.
· File taxes with the IRS – meet the deadline of April 15th or quarterly.
· File W-2s online.
· Keep Employee files up to date and process all payroll forms promptly.
