About the Role
The Senior Client Service Associate plays a critical role in delivering an outstanding client experience. This individual serves as a primary point of contact for clients and is responsible for a wide range of account servicing and operational functions. The role works closely with wealth management professionals to support client onboarding, account maintenance, and administrative processes. This is a hybrid position with standard business hours of 8:00 AM – 5:00 PM. Team members work in-office Tuesday through Thursday, with the option to work remotely on Monday and Friday.
Responsibilities
- Prepare and process documentation related to client onboarding and ongoing account maintenance.
- Open brokerage accounts, establish cashiering services, and set up online account access.
- Update cost basis information, track required minimum distributions (RMDs), and reconcile account data.
- Coordinate the receipt and delivery of client documents with advisors, custodians, and other stakeholders.
- Maintain accurate and timely records of all client activity within the CRM system.
- Serve as a liaison between clients, custodians, and investment managers.
- Manage client information and assist with cashiering and money movement requests.
- Enter and maintain client and prospect data, ensuring accuracy and completeness of records.
- Assist in preparing client-facing materials, including portfolio review packets, presentation materials, service agreements, and compliance-related documents.
- Coordinate annual audit requests, audit confirmations, and financial documentation with clients, custodians, investment managers, and auditors.
- Support scheduling and calendar management for internal teams, clients, prospects, and centers of influence (COIs).
Qualifications
- 3 years of client service experience within wealth management, financial services, or a related industry.
- Strong commitment to delivering exceptional client service in a team-oriented environment.
- FINRA Series 65 license preferred, or willingness to obtain within 6–12 months.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Experience with Charles Schwab platforms preferred.
- Experience using Salesforce CRM, Tamarac, or similar wealth management technology platforms is a plus.
- Experience working with alternative investments is highly desirable.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to follow established processes and procedures.
- Ability to prioritize competing responsibilities and manage multiple tasks independently.
- Bachelor's degree preferred.
Pay range and compensation package
- Base Salary: $70,000 – $80,000, depending on experience and qualifications.
