Summary: Provides administrative support to the sales team. Responsible for demonstrating and promoting SRIM's core value of the Golden Rule by treating others, including residents, families, and associates, in the same way we would like to be treated by performing the following duties.

 

Duties and Responsibilities include the following. Other duties may be assigned.

 

  1. Prepare and complete all paperwork related to new move-ins and transfers according to state guidelines and company policy, including preparation of move-in packets. Effectively and proficiently utilizes digital software platforms for completion.*

  1. Expedite the move-in process by coordinating with the Director of Resident Services to facilitate an assessment of all new and transferring residents.*

  1. Coordinate the distribution of all move-in paperwork to the appropriate departments.*

  1. Coordinate and communicate unit readiness with appropriate departments to ensure timely move-ins and transfers.*

  1. Greet prospects, residents, vendors, visitors and fellow associates professionally and enthusiastically.*

  1. Maintain high levels of customer service and occupancy; establish and maintain good working relationships with residents and their families.*

  1. Utilizes professional telephone etiquette when speaking with prospects, families, new residents and other associates.*

  1. When needed, may answer inquiry calls and internet inquiries using appropriate forms to communicate all activity to the department. Effectively and proficiently utilizes digital software platforms for completion.*

  1. Meet with families and new and current residents regarding apartment transfers.

  1. Facilitate the new resident orientation process with all department heads per company policy.*

  1. Complete pre-move-in inspection, check keys and pendants to apartment 72 hours prior to move-in and report any unfavorable conditions to the Maintenance Director and Executive Director.*

  1. Hand deliver move-in gift the day of move-in.*

  1. Perform resident orientation and move-in inspection of apartment with new resident on behalf of sales & marketing.*

  1. In conjunction with Director of Sales, assist in the planning and hosting of events for prospects or referral sources.*

  1. Present the community to prospects or current residents to assist with the sales process as needed.

  1. As appropriate, ensure that all model and respite rooms are ready to show at all times.*

  1. Share positive and/or negative comments related to customer satisfaction with the Director of Sales and Executive Director.

  1. Attend and participate in all meetings and trainings as required by company policy and the Director of Sales.*

  1. Knows, understands, and follows established policy and procedures in emergency situations.*

  1. Maintain professional standards of personal appearance and grooming to reflect sales ability, leadership and integrity, which includes wearing the proper uniform and name tag when on duty.

  1. Understands and complies with HIPAA regulations.*

  1. Practices good body mechanics and safe working habits always.*

  1. Takes the initiative in work, seeks out additional information, and offers solutions/suggestions.

  1. Performs all other reasonable duties as assigned or as requested.

  1. Takes on special projects or assignments outside of regular duties willingly.

Language Ability:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

 

Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

Computer Skills:

To perform this job successfully, an individual should have knowledge of Office 365 and Yardi.

 

Education/Experience:

High school diploma or general education degree (GED); one year related experience and/or training; or equivalent combination of education and experience.
