Description:Job Title: Administrative Assistant Department: Northwest Indian Treatment Center Reports To: NWITC Director FLSA Status: Non-Exempt TS Range: 8/9 ($29.20)Opening Date: 12/05/2025Closing Date: 01/05/2026SUMMARY:Serves as the primary point of contact for all incoming calls and visitors, ensuring professional, compassionate, and respectful experience aligned with the values of a residential treatment environment. Manages front desk operations, directs inquiries to appropriate staff, and maintains a welcoming and secure reception area. Provides comprehensive administrative support to the entire department, including scheduling appointments, preparing documentation, maintaining records, and facilitating internal communications. Plays a vital role in supporting the daily operations of the facility and organized environment for residents and staff. Demonstrates the ability to manage multiple tasks simultaneously while maintaining accuracy and efficiency. Communicates effectively with internal and external stakeholders to ensure clarity, professionalism, and timely resolution of inquiries. Operates independently within defined guidelines to prioritize and initiate work activities. Decision-making is limited to selecting appropriate methods or procedures, with supervisory support available for non-standard situations. Work is periodically reviewed to ensure compliance with applicable policies, procedures, and standards.This position interacts with patients and coworkers demonstrating DBT skills to ensure necessary information sharing and consistent practice. Uses DBT skills to make appropriate interventions in emotion-laden situations.ESSENTIAL DUTIES AND RESPONSIBILITIES: Includes the following. Other duties may be assigned.Consistently demonstrates DBT skills in interaction with employees, peers, patients and external entities.Ensure supplies are ordered and monitor inventories. Ensure employees are registered for training and travel arrangements are coordinated with the tribe. Operate equipment such as calculators, copiers, computer and fax machine. Monitors and maintain filing and storage systems.Prepares and edits correspondence and reports with attention to grammar and accuracy, proficient in Microsoft Word, Access, and Excel for document and database management.Answers telephone; coordinates the message delivery system; refers calls to proper person; operates a central telephone switchboard; greets visitors, and answers inquiries from the public.Logs, stamps and deliver incoming daily mail to appropriate boxes.Performs addition and subtraction, reading and copying of figures, or counting and recording.Properly uphold multiple projectsOther duties may be assigned.SUPERVISORY RESPONSIBILITIES: This position has supervisory responsibilities.QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.Must not be under current investigation by the Department of Health or found in noncompliance with DOH ethical standardsDegree and 2 years progressive work experience in administrative support duties OR Associates of Arts degree and 4 years progressive work experience in clerical administrative support duties OR High School diploma/ GED and 6 years progressive work experience in clerical administrative support duties. LANGUAGE SKILLS: Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Skillfully and appropriately demonstrating DBT skills. Must be able to speak before groups in an engaging manner that maintains attention and work with a team to implement trainingMATHEMATICAL SKILLS: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume. Ability to apply concepts of basic algebra and geometry.REASONING ABILITY: Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.CERTIFICATES, LICENSES, REGISTRATIONS: Must have valid Washington State Driver’s License and be insurable by the Tribe’s carrier to transport patients. The applicant must successfully complete a WATCH and Tribal Court background check.
