Overview

Our Nassau County OBGYN practice is currently seeking a professional, compassionate, and experienced individual to fill the position of Practice Manager. The Practice Manager is responsible for the overall operations, development, and success of the care center by acting as an information resource and ambassador to all stakeholders. This position manages provider and staff engagement, workflow development, schedule management, patient experience, financial performance, billing compliance, and chart documentation. In conjunction with the MSO (Management Service Organization), lead physicians, and Director of Practice Operations, encourages team concept, as well as supports the mission, vision, and values of the organization.

Job Responsibilities

Revenue Cycle Management:

  • Works closely with MSO to ensure that all daily billing is performed promptly and accurately and helps to identify operational deficiencies that may be adversely affecting physician billing, assists in finding solutions to these issues.
  • Monitors and tracks weekly A/R, denials, collections, etc. and redirects staff efforts as needed.
  • Supervises both billing and front desk personnel to manage collection of all copayments, co-insurance, deductibles, etc.
  • Remains current on CPT/ICD-10 coding rules and changes
  • Acts as a value-based care liaison between MSO and practice personnel.

Accounting

  • Prepare and submit biweekly payroll in coordination with HR department
  • Review and authorize weekly invoices timely and accurately under supervision of Finance Department

Human Resources

  • Responsible to hire, train, orient, coach, and mentor personnel in conjunction with MSO.
  • Evaluate employee performance. Resolve employee issues and addresses procedure and performance related issues. Authorizes attendance, schedules, and sick time changes.
  • Trains staff according to specific job responsibilities and expectations. Ensures appropriate cross-training and cross-coverage for all practice areas.
  • Plan, create and maintain schedules for all practice office activities, including hospital and on-call for physicians, technicians, and staff.

Equipment/Facilities

  • Maintains the physical appearance and upkeep of office locations.
  • Negotiates and researches cost savings initiatives for equipment and supplies. Maintains inventory with clinical support staff to ensure full supply.
  • Monitors maintenance and repair of office equipment when needed.

IT/Computer Systems

  • Develops advanced skills within Electronic Health Record system, Athenahealth.
  • Acts as a liaison between compliance department and remains current on all compliance matters.
  • Maintains accurate, well-organized, up to date files for retrieval as well as receives, complies, classifies, reconciles, and consolidates data from varied sources.

Legal

  • Comply with all local, state, and federal laws and guidelines as well as provide staff with documentation and required training.
  • Assists with accreditation of various programs.
  • Ensure risk management policies are followed and medical records are maintained, stored, and released appropriately.

Other

  • May be asked to perform other varied functions.
  • Attend in-person meetings on an as-needed basis.
  • Participate as a member of various committees.

Qualifications

  • Bachelor's degree in Healthcare Management or related field preferred
  • Associate's Degree required
  • 3-5 years of supervisory or management experience in a physician office
  • Advanced proficiency level with Microsoft Word and Excel
  • OBGYN practice experience preferred
  • A willingness to work as needed
  • Accuracy and attention to detail
  • Demonstrates flexibility to accommodate changes in workload and react calmly and effectively in stressful situations.
  • Must have superb interpersonal skills and be able to handle difficult conversations effectively.
  • Ability to be open minded, fair, and respectful of patients, staff, and physicians.

Salary : $85,000 - $95,000
