Position Summary
The Receptionist/Office Assistant serves as the first point of contact for our clients, attorneys, and visitors. This individual plays a vital role in creating a welcoming and professional first impression while maintaining the highest standards of confidentiality and client service.
The ideal candidate is polished, dependable, highly organized, and able to manage multiple priorities with professionalism, discretion, and a positive attitude.
Primary Responsibilities Client Reception & Hospitality
- Welcome clients, opposing counsel, vendors, and visitors with warmth, professionalism, and courtesy.
- Ensure the reception area is clean, organized, and presents a welcoming environment.
Telephone Management
- Answer, screen, and direct a high volume of incoming calls promptly and accurately.
- Take detailed messages and ensure timely follow-up when appropriate.
Scheduling & Conference Room Coordination
- Manage conference room reservations and calendars.
- Prepare conference rooms for meetings and assist with meeting logistics as needed.
Administrative Support
- Process incoming courier deliveries.
- Assist attorneys and staff with administrative projects as requested.
- Assist with initial client intake procedures.
- Support conflict check processes while maintaining strict confidentiality.
Qualifications
- Minimum of two years of experience in a professional office environment; law firm experience is preferred.
- Proficiency with Microsoft Office (Word, Excel, and Outlook).
- Experience operating a multi-line telephone system.
- Excellent verbal and written communication skills.
- Strong organizational skills and exceptional attention to detail.
- Ability to exercise discretion and maintain confidentiality.
- High school diploma or equivalent required; Associate's degree or higher is preferred.

Hours: Monday through Friday, 8:00 a.m. – 5:00 p.m.
