Job Responsibilities
Procurement Responsibilities
- Obtain detailed quotes on furniture, fixtures, and finishes from websites and reps, and set appropriate markups that keep in mind any shared retail pricing and maximize profits.
- Create all proposals and invoices for clients and assist with fielding any questions on pricing.
- Place orders once payment has been received from the client, and verify order confirmations for accuracy.
- Remit payments and resolve purchase orders to match invoicing from vendors, adjusting pricing discrepancies to match charges.
- Maintain tracking information for items and notify clients and designers at an appropriate cadence of any updates.
- Receive and inspect all client items arriving at the office and notify the designer of receipt of items.
- Communicate on any damaged goods to reps to receive the best possible outcome (e.g. replacement, discount, new item) and notify appropriate parties of solution.
- Manage upcoming deliveries to our receiver, coordinate installations to client sites, and manage delivery quotes and payment.
- Assist designers at installations if required.
- Create invoices at appropriate times in the product lifecycle to recognize income and resolve outstanding invoices with the client.
- Manage office furniture inventory, decor inventory, and inventory held at receiver.
Vendor Coordination
- Open new vendor accounts and obtain required information for the internal tracking spreadsheet. Save relevant vendor information to correct folders.
- Check in with all vendors at least twice per year to ensure our information is up-to-date and that we are receiving the best discount possible.
- Assess for preferred vendors across categories based on earning potential, products, reps, shipping options, and more to make recommendations to the designers.
- Obtain and plan against order minimums by informing the designers on a quarterly basis of where to focus their sourcing efforts.
- Negotiate discount tiers for our largest and most important vendors on a yearly basis.
- Remove discontinued samples from the library and work with reps for updated sample lists.
- Upkeep of physical books from vendors, ensuring up-do-date resources for designers.
Qualifications
- Bachelor's Degree in relevant field
- 2-5 years of experience in procurement or purchasing including logistics and budgeting with experience or knowledge in interior design or luxury furnishings strongly preferred
- 1-3 years of experience in vendor and contract management
Skills
- Managing the end-to-end procurement process for multiple projects at various phases is critical
- Proficient- to expert-level software knowledge including Google Suite, Excel, and Studio Designer
- Strong attention to detail in managing budgets, processing payments, coordinating delivery and installation logistics, and performing cost analyses
- Contract negotiation, project management, and vendor relations skills
- Product knowledge and industry trends is essential for aligning purchases with design specifications
