What are the responsibilities and job description for the Purchasing Agent position at Springfield Baptist Church?
Job Function: The Purchasing Agent reports directly to the Pastor. The Purchasing Agent is responsible for more than 40 ministries and church activities which includes, sourcing building maintenance, administrative, educational, special days and fellowship activities. The primary responsibility of this role is to ensure the church’s finances are properly accounted for.
The Purchasing Agent must show discretion and confidentiality in all matters related to Springfield Baptist Church members and Springfield Church business. This role requires being a self-starter and capable of working independently with strong organizational skills to effectively and efficiently carry out the mission of the Springfield Baptist Church. In addition to working autonomously, this role requires the ability to work well in a team environment.
RESPONSIBILITIES/DUTIES
a. Works with Church to identify office supply needs
b. Negotiates with vendors for bulk purchasing discounts
c. Establish and maintain vendor contracts and agreements
d. Maintain electronic files of all purchase transactions
e. Record and manage all taxed expenditures
f. Ensure proper tax documentation is filed with NC Department of Revenue
g. Ensure expenditures are charged against correct account and prepare reports as needed
h. Negotiates contracts with vendors for outsourced ministry services
i. Performs product price comparison on frequently used church supplies
j. Orders standard office supplies and keeps office supply room stocked with standard office supplies
k. Works with Church Treasurer on annual ministry supply budget
l. Researches supplies and equipment cost-saving opportunities
m. Reconciles bills for vendor agreements
n. Participates on event team meetings and assumes role of event supply procurement within event supply budget
o. Monitors Purchasing credit card activity/reconciliation process. Connect with local bank for new credit card requests and cancellations
p. Performs other duties as assigned
Required QUALIFICATIONS
BS Degree in Business, Finance or Accounting orequivalent combination of experience & education. Proficient in MS Word and Excel, ability to quickly learn Power Church software

Pay: $40,000.00 - $45,000.00 per year
