Job Summary
We are seeking an energetic and detail-oriented Office Administrator to join our vibrant team. In this pivotal role, you will oversee daily office operations, coordinate administrative functions, and support our organizational goals with enthusiasm and professionalism. Your proactive approach will ensure smooth office management, effective communication, and seamless event planning to help us deliver outstanding performing arts programs.
Duties
- Maintains all donor involvement records such as annual campaign donations, mailing lists, SAC database using Network for Good software.
- Processes payables and receivables; maintains and gathers physical copies of transactions and accounting records for accountant and annual audit.
- Performs daily mail pick-up and processes incoming/outgoing mail; prepares in-office bulk mail projects for Salute, Annual Campaign, and other mail projects as required.
- Assists with management of annual Salute Benefit Auction; handles in-house processing of auction donations and paperwork and serves as contact to Salute acquisition donors.
- Responsible for overseeing and managing internal marketing processes to ensure cohesive planning, execution, communication, and brand alignment across all departments.
- Coordinates solicitations for, and maintains records of, advertising sales orders for SAC program books.
- Serves as touring artist contact for coordination of performers’ hospitality and travel requirements (Summer Arts Festival, Showtime Series, others as needed.)
- Assists patrons with, and manages rentals, of costume items from SAC Costume Collection.
- Maintains office housekeeping and supply inventory.
- Ensures efficient operation of the office and a professional work environment.
- Supports staff at Springfield Arts Council programs and events as required.
- Provides other duties as assigned by Executive Director
Skills
- Proven experience in office management or administrative roles within a nonprofit or arts organization.
- Strong organizational skills with the ability to multitask effectively in a fast-paced setting.
- Excellent communication skills—both verbal and written—to interact confidently with staff, vendors, and community members.
- Proficiency in QuickBooks for bookkeeping and payroll processing; familiarity with budgeting tools is a plus.
- Experience in event planning, vendor management, and calendar coordination to support organizational programs.
