Self-Directed Services Coordinator Assistant
FLSA Status: Non-Exempt

Reports to: Supervisor of department or designee
Position Summary
Provides complex administrative support to the Self-Directed Services division. Duties include general clerical, receptionist, and project-based work.
Primary Duties and Responsibilities:
- Develops working knowledge of relevant agency software.
- Guides and advises Self-Directed Services staff in the development of budgets as necessary.
- Corresponds with providers as necessary to collect documentation for departmental compliance.
- Complete and facilitate FIC duties under the guidance of the FIC.
- Assist individuals and their families in accessing service and supports identified in budgets.
- Provides support to FICs by assisting and uploading documents to Electronic Health Records, completing referral documents, and making phone calls as needed.
- Provide accurate and timely support of department personnel by typing, filing, telephone answering, and performing other clerical duties as necessary.
- Maintains office efficiencies including recording and monitoring expenses, supplies, and procedures; organizing and accurately maintaining a filing system; and managing office equipment or properties of the office.
- Provide administrative support of information by preparing and processing data input/output to Springbrook computer information systems.
- Facilitate overall department communication effectiveness by coordinating departmental, interdepartmental, and external communications.
- Aid department meeting effectiveness by scheduling, providing administrative support, and acting as minute-taker as requested.
- Aid in successful special project completion by providing clerical support, research, and data accumulation as requested.
- Requires a comprehensive knowledge of the program assigned.
- Assists intake department with collection of referrals and dissemination of information to appropriate staff
- Exercises discretion and independent judgment within understood policies.
- All other duties as assigned.
Qualifications, Skills and Knowledge Requirements:
- Associates degree or equivalent earned college credits in Health or Human Services or related field; Bachelor’s degree preferred
- Prior experience working in an administrative support position preferred.
- Duties require professional verbal and written communication skills.
- Organization, attention to detail, and ability to juggle multiple projects.
- Qualified applicants must also possess the ability to work collaboratively and independently in order to meet deadlines and achieve goals.
- Proficiency in or knowledge of using a variety of computer software and e-mail applications, especially Microsoft Excel, Outlook and Word; have the aptitude to learn other computer software as necessary.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
