Overview:
We are seeking a highly organized and motivated Administrative Coordinator with experience or interest in the construction industry, who is eager to grow into an Administrative Manager role. The role will involve handling administrative and operational tasks for both our San Diego branch, where they will be based, and our Hayward branch.
Key Responsibilities:
· Manage and maintain certified payroll reporting and ensure full labor compliance
· Assist in payroll processing, ensuring accuracy, timeliness, and proper job setup processes
· Track and manage employee PTO, leaves of absence , and terminations
· Support and coordinate employee onboarding, including documentation, compliance, and system setup
· Serve as a point of contact for union communications, coordination, and related documentation
· Track, manage, and renew business licenses to maintain operational compliance
· Maintain organized records, files, and internal systems for easy access and audit readiness
· Assist leadership with scheduling, reporting, and continuous process improvements
· Manage company vehicle records, including registrations, renewals, and documentation
· Ensure compliance with California CARB (California Air Resources Board) regulations for company vehicles
· Schedule and coordinate office maintenance, including equipment servicing, cleaning companies, and other building maintenance needs
· Coordinate daily administrative operations and ensure smooth office functions
· Ensure compliance with company policies, labor regulations, and all applicable legal requirements
· Perform other duties as assigned; additional tasks may be given as needed
