Responsibilities
- Greet visitors and clients professionally, providing excellent customer service and support.
- Answering phone and routing communications.
- Provide comprehensive administrative support to management and project teams
- Prepare, proofread, and distribute correspondence, reports, and presentations
- Maintain accurate records, files, and project documentation
- Coordinate meetings, schedules, and travel arrangements
- Interface professionally with clients, vendors, and team members
- Manage office supply inventory and ensure smooth office operations
- Assist with project tracking, document control, and compliance requirements
- Support invoice processing, expense reporting, and basic bookkeeping tasks
- Proactively identify process improvements and implement solutions
- Contribute to a positive team environment while also excelling when working independently
- Maintain organized filing systems, both digital and paper-based, ensuring easy retrieval of documents.
- Perform data entry tasks accurately using Microsoft Office applications, including Word and Excel, to support project documentation and reporting.
- Assist with calendar management by scheduling meetings, appointments, and coordinating project timelines for team members.
Qualifications
- Proven clerical or administrative experience in an office environment within the engineering or contracting industry is preferred.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks accounting software.
- Excellent organizational skills with keen attention to detail and accuracy in data entry and proofreading.
- Exceptional communication skills and professional phone etiquette for handling customer inquiries via phone or email.
- Demonstrated ability to manage multiple priorities effectively while maintaining a positive attitude under pressure.
- Experience in office management tasks such as filing systems, calendar coordination, and handling confidential information responsibly.
- Personal assistant experience or familiarity with time management tools will be considered advantageous.
