What are the responsibilities and job description for the Preschool Fiscal Accounts Program Assistant position at Spotsylvania County School District?
The Preschool Program Assistant II supports the daily functions of the Head Start department and the Head Start (HDS) and Virginia Preschool Initiative (VPI) grants to ensure a productive and efficient work environment. Additional financial responsibilities of this position include maintaining accurate accounting records for receipts and disbursements as well as payroll tracking within the department. This position may also assist in a variety of other administrative functions in support of the goals, mission and strategy of the Head Start department and its programs.
Essential Job Functions:
- Tracks employee Timeclock daily entries and compiles absence reports for payroll.
- Processes payroll packets twice a month and timesheets once a month for submission to the payroll department at the School Board Office (SBO).
- Records, files and maintains paperwork for the HDS and VPI grants that provide for the efficient operation of the programs
- Reviews HDS and VPI salary and benefit account lines quarterly for budgeted accuracy.
- Collaborate with the Program Director to assist in the financial portion of writing the HDS grant to develop the operating budget based on the funding guidance letters
- Loads award amounts into correct account lines based on the HDS notice of awards.
- Completes budget and expense transfers as necessary.
- Prepares, produces and makes appropriate distribution of all correspondence information, such as sending timesheet reminders, schedule changes, sharing end of year deadlines, preparing reports, sharing pertinent order information with teachers and Bookkeepers at multiple school locations for all orders placed.
- Understands, generates, and documents in-kind and other allowable costs applied toward the non-federal share requirement; tallies monthly in-kind contributions with proper documentation.
- Supports Policy Council meetings and prepares financial statements including in-kind monthly reports, credit card statements, and financial reports with supporting documents to present at the meetings.
- Prepares federal documents as required, such as monthly reimbursements, monthly financial reports, and financial portion of the yearly Annual Report
- Establishes and coordinates the efficient operation of the office receipts and disbursement of funds in accordance with budget allocations for federal and local HDS and VPI grants.

Education and Experience:
Required
- High School Diploma or GED certificate
- Three (3) years of administrative experience, ideally within the Educational industry
Preferred
- Associate’s Degree and/or special certificates with an emphasis in Accounting, Finance, Business Administration or related field

Employment Terms: Employment may be offered as a 12-Month (243 Day), full-time position. The work schedule for this position is 7.5 hours worked per day, excluding lunch. This position is evaluated annually.
