Job Summary
Provide comprehensive leadership for SYSA programs, and provide oversight of Spokane Indians Youth Baseball (SIYBS) competitive baseball operations, and full coordination of 4 annual tournaments working with SIYBS leadership team. Responsibilities include: scheduling, volunteer management, coach recruitment, facility readiness, budgeting, program growth, marketing, while driving community participation.
Essential Functions & Responsibilities
- Coordinate recreational leagues across multiple sports: schedule games/practices, secure facilities, promote registration, coach recruitment, manage equipment/uniform inventories, and interpret league rules.
- Recruit, train, supervise, and evaluate volunteer coaches and seasonal staff.
- Enforce SYSA policies consistently; conduct fair, confidential investigations as assigned.
- Serve as lead liaison for referees, coaches, parents, and community partners.
- Collaborate with maintenance managers to ensure safe, clean facilities.
- Assist Executive Director with overall SYSA management, budget development, special projects, fundraising, and community engagement.
- Provide high-level administrative support: information flow, quarterly/monthly reports, sports committee reporting, marketing, clerical duties, and occasional board meeting reporting.
- Manage all SIYBS competitive baseball operations: scheduling, field assignments, rule interpretation, and participation promotion.
- Align baseball with SYSA standards for safety, fairness, and development.
- Facilitate coaches’ meetings and maintain open communication with SIYBS Board.
- Maintain relationship with umpires and Baseball & Softball Advisory Committee (BSAC)
- Facilitate SIYBS marketing and social media management
- Direct all SIYBS tournaments (e.g., Cinco de Mayo, Memorial Day Super Bash, Best in the Northwest, and River City Rumble).
- Reserve fields, create brackets, schedule games, request umpires/staff, and coordinate with SIYBS and city/county field prep crews, and umpire associations.
- Order awards, t-shirts, baseballs/softballs, pitch cards, posters, and materials; manage Event-Connect for travel teams.
- Hire and train on-site tournament teams to help facilitate tournaments
- Develop and execute tournament budgets to exceed prior-year profitability.
- Recruit highly competitive teams/clubs, and oversee vendors (t-shirts, porta-potties, etc.).
- Manage trophy presentations
- Alongside a Tournament Team, deliver professional on-site leadership for a minimum of four (4) full weekends each summer (May–August) and provide detailed post-event reports to SIYBS Board and SYSA Executive Director.
- Collaborate with SYSA & City/County maintenance managers to help to ensure safe, clean facilities across SYSA and SIYBS sites.
- Assist Executive Director with overall SYSA management, budget development, and special projects.
- Provide high-level administrative support: information flow, quarterly/monthly reports, sports committee reporting, and marketing.
- Provide fundraising assistance, event support, and community engagement support with partners and benefactors.
- Attend weekly SYSA staff and monthly SIYBS/SYSA Board meetings; prepare materials as needed.
- Passion for all sports, with particular enthusiasm for competitive baseball.
- Experience in multi-sport program coordination, volunteer management, tournament operations, and event management.
- Strong marketing, budgeting, relationship-building, and strategic partnership skills.
- Proficient in Microsoft Office, Google Suite, tournament software (Tourney Machine, Event-Connect), league management platforms, email, texting, and scheduling apps.
- Calm under pressure; excels in fast-paced, outdoor, and high-stakes environments.

- Excellent verbal/written communication, attention to detail, and ability to manage multiple concurrent projects.

- Office and field-based; frequent travel between SYSA and SIYBS locations.
- Exposure to all weather, noise, distractions, interruptions, dirt, dust, and allergenic substances.
- Lift/push/pull up to 50 lbs; stoop, bend, set up/break down fields and equipment.
- Required on-site presence for 4 full tournament weekends annually, city-championship weekends, plus SYSA events.
- Prolonged computer use, phone communication, data entry, and operation of standard office equipment.
- Mobility to move around buildings and travel to city fields.
- Minimum Age: 18
Education:
- Bachelor’s degree in Sports Management, Recreation, Business, Event Planning & Logistics or related field preferred.
Experience:
- 4 years in multi-sport program coordination, event planning or logistics (scheduling, recruiting, volunteer supervision).
- Proven competitive baseball leadership and tournament coordinating experience required. 2 years progressive experience in sports-related roles or event planning and logistics including marketing, training, and lead liaison duties.
Licenses/Certifications:
- Valid Driver’s License proof of auto insurance.
- Pass criminal background check and drug screening.
Availability:
- Flexible schedule (evenings, weekends, extended summer hours).

- Proficient with remote tools, cell phone for immediate contact, business applications, Microsoft apps and social media platforms.

Pay: From $25.00 per hour
