- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems, handle incoming calls, and route messages efficiently
- Maintain organized filing systems, including digital documents via Google Workspace and Microsoft Office applications
- Perform data entry and bookkeeping tasks using QuickBooks and other accounting tools
- Schedule appointments, manage calendars, and coordinate meetings for staff and executives
- Support office management activities such as supply ordering, inventory tracking, and facility maintenance
- Provide customer support by addressing inquiries promptly and professionally, ensuring positive interactions at all times
- Assist with clerical tasks such as proofreading documents, preparing reports, and maintaining accurate records
- Facilitate communication between departments by managing correspondence and internal documentation
- Support personal assistant duties when needed, including travel arrangements or special project coordination
Experience
- Proven experience in office administration or clerical roles with a strong background in office management
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Experience handling multi-line phone systems and providing excellent phone etiquette in a professional setting
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Familiarity with QuickBooks for bookkeeping and financial record-keeping is preferred
- Prior experience as a dental or medical receptionist is a plus, showcasing familiarity with healthcare environments
