Job Overview
The Communications Representative is responsible for managing client communication for Splash Fit Swim Club. This includes responding to inquiries, processing applications, and ensuring all information is organized and accurate within our communication systems. The role oversees daily client interactions, supports the coordination of communication processes, and requires a detail-oriented, tech-savvy individual who can manage multiple tasks efficiently in a fast-paced environment.
Responsibilities
- Inbox and Message Management: Monitor and respond to client inquiries via email, text, and phone. Maintain organized, updated, and professional correspondence.
- Application and Account Processing: Review new registrations, makeup requests, and account updates through class management software, following established SOPs.
- Class Setup and Organization: Use Numbers to create and manage class grids, ensuring schedules, rosters, and instructor assignments are accurate and up to date.
- Lead Tracking and Follow-Up: Manage and follow up with prospective clients through online forms, lead submissions, and internal databases to maximize enrollment opportunities.
- Technology Use: Navigate Apple products confidently to perform daily administrative and communication tasks.
- Reminders and Task Tracking: Utilize the Reminders App or other task management tools to complete assigned follow-ups and updates.
- Record Keeping: Maintain clear, accurate client records and internal notes across all communication systems.
- Professional Representation: Uphold Splash Fit Swim Club’s standards in all interactions with families, partners, and staff.
Qualifications
- Must be at least 18 years old.
- Prior experience in class management software (iClassPro preferred) or other CRM/customer service systems.
- Background in customer service, aquatics, or youth programming preferred.
- Excellent communication skills—written, verbal, and digital.
- Strong attention to detail and time management in a fast-paced environment.
- Tech-savvy with strong proficiency in communication and scheduling tools.
- Ability to work independently and adapt quickly to changing priorities.

Job Type: Part-time
Pay: $20.00 - $22.00 per hour
