About the Role
We are a fast-growing pool construction company looking for a highly organized, detail-oriented Project Coordinator to manage the administrative side of our projects.
This role is critical to keeping our jobs moving, our customers informed, and our company compliant. You will work directly with ownership and play a key role in day-to-day operations.
What You’ll Be Responsible ForProject Coordination
- Prepare and file Notices of Commencement (NOCs)
- Send pre-construction emails and onboarding communication to customers
- Track project progress through engineering, permitting, and construction phases
- Provide consistent customer updates on project status
- Coordinate with cities, counties, and permitting offices
- Track and follow up on permit approvals, revisions, and inspections
Subcontractor & Compliance Management
- Organize and vet subcontractors
- Collect and maintain Certificates of Insurance (COIs) and W-9 forms
- Ensure all vendors are properly licensed and insured before work begins
- Maintain clean and organized vendor and project records
Administrative & Office Operations
- Maintain organized project files (Google Drive, Dropbox, etc.)
- Assist with scheduling and coordination between departments
- Communicate with homeowners, HOAs, inspectors, and vendors
- Track project timelines and flag any delays or missing items
- Support project managers and ownership with daily operations
Company Compliance & Internal Organization
- Keep company insurance policies updated with all required agencies
- Track and manage license renewals and registrations
- Ensure all documentation is current, accurate, and organized
- Help keep the company operating smoothly from an administrative standpoint

Experience

Pay: $18.00 - $26.00 per hour
