Payroll Specialist
Job Summary:
We are looking for a detail-oriented Payroll Specialist to join our team. The Payroll Specialist will be responsible for processing Bi-weekly payroll for three companies, ensuring accuracy, and compliance with all relevant regulations. The ideal candidate will have a strong knowledge of the payroll process from beginning to end, this includes processing multiple bi-weekly pay cycles and managing the time and attendance system to ensure all hours are recorded and calculated with accuracy.
Responsibilities:
- Audits automated and manual timecards for payroll processing
- Exports and imports timecard information from timecard software into payroll software
- Calculates hours, tax withholdings, deductions, and bonuses
- Creates and processes electronic payroll files for submission to generate direct deposits and payroll check.
- Coordinates with the HR Generalist to ensure the correct employee data is on file
- Processes and completes all required project documentation to ensure compliance with Federal, State, and local wage laws
- Coordinates and interfaces with both internal and external customers, as necessary; including but not limited to Temporary Agencies
- Ensures compliance with company policies, accounting principles, and legal requirements
- Utilizes Paychex or similar systems for payroll management
- Handles employee inquiries regarding payroll matters
- Resolve payroll discrepancies
- Perform audits to ensure accuracy of payroll
- Process new hires and separations
- Maintain confidential payroll information
- Manage workflow to ensure all payroll transactions are processed accurately and timely
- Assists in audits related to payroll records
- Generates reports for management review
- Stays updated on changes in payroll regulations and best practices
- Other duties as assigned
Our ideal candidate:
- Is an experienced payroll specialist for a minimum of 4 years, High School diploma or equivalent, some college preferred.
- Has experience with various HRIS & Payroll systems (e.g. Paychex and ADP preferred)
- Has a solid understanding of accounting fundamentals and payroll best practices.
- Experience working in warehousing a plus.
- Knowledgeable legislation and regulations of the payroll field.
- Prioritizes communication and loves working in a team.
- Is comfortable working in a fast-paced and growing environment.
- Pays attention to detail and accuracy
- Is able to create and maintain excel reports, knows how to use Google Docs
- Speaks Spanish (preferred)
