Responsibilities
- Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office application
- Support office management activities by coordinating supplies, scheduling appointments, and handling correspondence
- Provide customer service and client communication support by addressing inquiries promptly and professionally.
- Proofread documents for accuracy and clarity while maintaining high standards of professionalism in all written communication.
- Coordinate schedules, meetings, and appointments.
- Prepare reports, spreadsheets, presentations, and operational documents.
- Maintain organized records, files, and company documentation.
- Assist with project coordination and track deadlines and deliverables.
- Communicate with vendors, customers, and internal departments on behalf of the Operations Manager and CEO.
- Monitor inventory, supplies, and purchasing requests as needed.
- Assist with employee onboarding paperwork, scheduling, and administrative tasks.
- Help develop, update, and maintain operational procedures and documentation.
- Collect and analyze operational data to support decision-making.
- Follow up on outstanding tasks and ensure projects remain on schedule.
- Handle confidential information with discretion and professionalism.
- Perform other administrative and operational duties as assigned.
Experience
- Prior experience in an administrative or clerical role with a strong foundation in customer service
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data organization
- Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Excellent phone communication skills with knowledge of multi-line phone systems and phone etiquette
- Proven computer literacy including data entry, proofreading, filing, and general technical proficiency in productivity software
- Must be dependable while maintaining the highest degree of confidentiality
